USB tokens & passwords for temporary staff (temps)

AICWA has worked with KylieD to produce the following guide to assist with questions and concerns on how temps can transact in PEXA when on assignment (especially when they are covering a sole operator).

As part of the onboarding process Subscribers sign the PEXA Participation agreement.

Section 4.1(d) requires the Subscriber to comply and continue to comply with the Participation Rules;

Section 4.1(g) includes an obligation to comply, and continue to comply, with the Security Policy

Section 7 of the Participation Rules issued by Landgate details Subscriber’s obligations regarding system security and integrity.

Section 3.7 of the Security Policy sets out Subscriber’s obligations regarding control of Passwords & Digital Certificates.

The bottom line is Digital Certificates (on USB tokens) & Passwords should not be shared!

So what’s a girl to do?

Some sole trader licensees are loath to provide temps a Digital Certificate in the temp’s name because they have to be added to the Trust A/C operating authority with the Bank. This is certainly the case if you want them to be able to authorise debits from the trust account (i.e. a source in PEXA).

However, there are 3 different permissions a Subscriber can grant a User:

1) Signer – Documents

2) Signer – Financial Settlement

3) Signer – Trust A/c Authorisation

PEXA advise that the User is only requires to be a signatory on the Trust A/c for #3.

So if you’re a sole trader, want to take some holidays, but don’t feel comfortable adding a temp as signatory to your Trust A/C them consider issuing them with their own Digital Certificate / USB Token with permissions # 1 & 2. You would need to take your USB Token with you on holidays and sign the odd settlement that requires authorisation for funds to be sourced from your Trust A/C, but it’s better than placing your license & business at risk by “sharing” your Token thus contravening PEXA’s Participation Rules & Security Policy.

A = 1/2 shares (9/18 shares)

B = 1/2 shares (9/18 shares)

as tenants in common

Can this be done through PEXA?

Withdrawal of Caveat at Settlement

Is it possible to withdraw a caveat in the same workspace at the same time as settlement? Or does it need to be withdrawn seperately?

OSR outage | 27-29 April

Hi all,

We have been advised that WA OSR will be unavailable from 5.00pm Friday 27 April to 6.00pm Sunday 29 April 2018 (AWST) due to regular maintenance.

As a result, Revenue Online will not be available during this time.

Bankwest Trust Accounts

After a period of investigation and testing the availability of Bankwest Trust Accounts has now been expanded from the initial pilot group. Registration of a trust account in PEXA is now available to all customers.

Existing users would be aware that under the current payments model the time taken for the PEXA deal status to move from 'settling' to 'settled' may exceed 30 minutes, rather than the less than 10 minutes experienced when the Bankwest account is not used. To rectify this processing delay the Bank is actively working to move all our PEXA payments to the New Payments Platform (NPP) infrastructure. This move will deliver the smoothest settlement experience and will be fully completed before the end of 2018.

Until these changes have been made to the payments system, to assist in providing the best possible outcome for all parties and to allow for payment processing, it is recommended that settlements should not be booked after 1500 WST.

We’re evolving and improving our digital offering to customers by embracing emerging technologies that are increasingly influencing how customers want to interact with us. The expansion of the service and the subsequent increase in transaction volume will be closely monitored, and your assistance is greatly appreciated.

Settlement Payments Trust Account Report - Destination Payments

Access this one via REPORTS tab in PEXA that will help with end of day reconciliation.

This will give you a full report for destination &/or Source payments going in and out of the Trust Account that have occurred with any PEXA settlements for the day (or other nominated timeframe) with your personal workspace reference detail against each transaction!

Incredibly helpful if you have multiple transactions in a day & forget to update from the auto generated PEXA reference on the transaction =D

Setting your matter to "pending" if there are some pre-settlement items to resolve

Hi all

Quick tip, if the buyer and seller are working on finalising some pre-settlement items (good working order issues etc), you can set your workspace to "pending" which won't unsign your documents, but the matter won't settle until you change from "pending". It will show as Settlement not accepted, but allows you to resolve some pre-settlement issues without having to get parties to unsign and re-sign.

Setts Plus and PEXA Integration

To simplify the e-Conveyancing process Setts Plus has integrated with PEXA. This means that certain PEXA activities can be completed automatically with the data you enter into Setts Plus.

What is integration?

Integration is the transfer of data between Setts Plus and PEXA . Integration enables certain PEXA activities to be completed automatically by using the data you enter into Setts Plus. To integrate, we use a technology communication method called API (Application Programming Interface). The below gives you an overview of the functionality that is now available in Setts Plus. You'll also find a training manual with examples attached to the right hand side of this article.

Functionality available in Setts Plus

Search Land Title

Verify in Setts Plus if your land title is eligible for electronic lodgement and whether the land title is currently ‘in use' in any other PEXA workspaces.

Search Subscriber

Search for active PEXA subscribers , by either their Subscriber ID or Subscriber/Organisation name directly in Setts Plus.

Create Workspace

From Setts Plus you can create a PEXA workspace, without opening PEXA! Setts Plus will automatically push key data to PEXA to enable the workspace to be created. This will include transferral of party details, land title details and settlement date. A new workspace will be created and the workspace ID will be returned to Setts Plus and linked to your matter automatically.

Update workspace

Gives you the ability to sync any updates to party details or land title information directly from your matter in SettsPlus

Send invitations

Automatically sends your workspace invitation from Setts Plus to other parties or yourself (if you are representing both sides). This can be completed at the same time as creating your workspace.

Responding to invitations

Respond to your PEXA invitations from Setts Plus - accept, decline or return the PEXA workspace invitation with the ability to add a response reason if required.

Settlement Availability

In SettsPlus you can retrieve a list of available settlement times for the given settlement date. You can use this pre or post your workspace creation.

Maintain Settlement Date

In Setts Plus you can propose a new settlement date/time, accept a proposed settlement date/time or reset your settlement acceptance status to pending and this will automatically update PEXA.

Workspace summary

In Setts Plus retrieve a summary of workspaces. Data available in Setts Plus will include party and participant details, document summary, settlement date/time, quick links into PEXA, and any associated fees.

Workspaces

In Setts Plus retrieve a list of your workspaces to see the last date it was modified. The workspaces you can see in Setts Plus are exactly the same as your workspace summary dashboard in PEXA but without having to go into PEXA!

Workgroups

If you are a PEXA Subscriber Manager or a PEXA Subscriber Administrator you can retrieve a view of your PEXA workgroups for your business and the users who are assigned to them workgroups.

Workspace Documents

In Setts Plus you can retrieve PEXA workspace documents that have been digitally signed and lodged with a jurisdictional land registry. The lodgement case must be in the status of ‘Lodged’, ‘Completed’ or ‘Not Accepted’.

Financial Settlement Statement

If your matter includes a Financial Settlement, create a settlement schedule and add financial settlement line items to the settlement schedule in Setts Plus. This data will automatically be passed to PEXA including any updates made. Please note: only end state figures should be entered into the schedule and the line items can only be added when the workspace is in the status of ‘In Preparation, ‘Prepared’ and ‘Ready’.
