Invite Participants to Join a Workspace

  1. Open your Workspace and select Participants from the left navigation panel.
  2. On the Participants screen select Participant and then Invite Participant.
  3. In the Participant field, type or search for your intended Participant.
  4. Select their Role from the drop down list. 
    Note: When inviting other Subscribers to join a Workspace, you must specify the representative role of the Subscriber you are inviting (eg Mortgagee on Title).
  5. Enter the Party represented (optional).
  6. Enter Notes if additional information is required. For example “Please join this workspace and confirm that the settlement date is achievable”.
  7. Select Send Invitations. 

 

Result: The Participants screen displays the invited Participant with a status of Pending.

 

Accepting Invitations

As part of your involvement in the PEXA network, you will receive invitations to join other members in a workspace. The Outstanding Invitations Received screen allows you to view, accept or refuse these invitations.

 

  1. From the Main Menu select Invitations.

  2. Locate the Invitation you wish to action and click View.

  3. On the Workspace Invitation screen, choose Accept, Decline or Forward.
    • If Accept is chosen, enter Your reference for the transaction, and select Save.
    • If Decline is chosen, select a reason for declining the invitation from the list provided, and select Save.
    • If Forward to another subscriber is selected, nominate the subscriber you wish to forward the invitation to, and enter additional notes.

Note: It is recommended that you accept as soon as possible.

 

You can choose to open the Workspace straight after accepting the invitation by clicking the check box Open workspace upon acceptance.

If you leave the check box unchecked you will return to the outstanding invitations screen after acceptance.


Result: Once you accept an invitation the new workspace can be accessed from Your Dashboard.

When in the Outstanding Invitations Received, I filter the results by jurisdiction, then click view to go into the Workspace Invitation. Once I Accept/Decline and save I am taken back to the Outstanding Invitations Received but my filter has gone, so I need to re-filter. Is there a way to make it 'stick'?

Hi @dcondello,

 

No, unfortunately, there is not functionality to apply and "stick" a filter to any of the PEXA screens. This means, as you have highlighted, when you move away from the screen, the filter is cleared.

 

I'll pass this onto our product management team. It may be something that they could look into.

As a PEXA Direct Specialist, one of the most common questions practitioners ask is whether or not the invitation they sent last week, a few weeks ago or even last month, will be accepted. The Transfer guidelines suggest that all invitations should be accepted or declined preferably no later than 21 days before the settlement date. Where invitations are issued within 21 days before the settlement date, they should be accepted or rejected within 2 business days of receiving the invitation.

 

From my experience, most practitioners are sitting on invitations because they're waiting for their client to let them know who the lender will be.

 

Out of courtesy for all the parties involved in the transaction, all invitations should be responded as soon as practical. If the practitioner is waiting to find out who the lender is, then you should consider accepting the invitation and then sending a conversation via the workspace to the other practitioner to let them know that it's a tentative acceptance. Once you're in the workspace you can converse with all the relevant parties. Remember that communication is the key! Let the otherside know what's going on. Ignoring invitations is like not returning that phone call.

 There is no Participants from the left navigation panel. Why is only NSW available for me to choose?

Hi @Gwen. You actually need to be inside a Workspace before the Participants left navigation panel appears.   

As a guess, NSW might be your default &/ only user set up jurisdiction..Create Party under particpants.PNG

Suggest maybe a list of recent/frequent filters to lookup and apply. Smiley Happy
