The Settlement Notification functionality gives Incoming Proprietor reps and Proprietor on Title reps more control over the notification that is sent upon successful settlement of a Workspace.
This functionality allows both Incoming Proprietor reps and Proprietor on Title reps to:
Create multiple settlement notification emails
Add multiple email addresses per settlement notification
Customise the content of the settlement notification email
This better aligns with current practices followed in NSW and Queensland, but also provides enhanced functionality for remaining states.
This functionality's main purpose is to notify real estate agents of successful settlement. But it's flexible enough to be used for other purposes, such as notifying a broker, body corp or even client.
Create a Settlement Notification
To create a Settlement Notification:
Navigate to Notifications > Settlement Notifications
From here, you then add the recipient(s) and enter a message for the email notification. Optionally, you can also upload and attach a file to the settlement notification.
Upload and attach files to a Settlement Notification
You may upload and attach files to a settlement notification. These files will be included in the emails issued when your transaction settles. As an example, you'll be able to send a real estate agent an 'Order on the Agent' pdf.
There are two ways you can upload and attach files to a settlement notification:
To upload from the 'Settlement Notifications' screen:
Navigate to Notifications from the left navigation menu.
Click Add to create a new settlement notification or Edit to edit an existing notification.
In the Attachments section, click Upload.
Browse for your file. By design, the File description and Share with permission is locked to protect privacy.
Click Upload. The file is uploaded and attached to this notification and appears listed under the Attachments section.
To upload from the 'Files' screen:
Navigate to Files from the left navigation menu.
Click Upload File.
Browse for your file.
For File Description, select General Files > Others.
For Share with, select No one. This is important. By selecting "No one", the file is shared only with the intended recipient and no other Workspace participant.
Click Upload. This file can now be selected from a drop-down on the Settlement Notifications screen.
