PEXA is pleased to present the maintenance release of the PEXA System, Release 8.0.2, scheduled for business go live 9 July 2018.

 

UPDATE: Multi-Factor Authentication (9 July 2018)

Lawyers and conveyancers will see a pop-up detailing plans around the implementation of multi-factor authentication when they log in to PEXA. More info can be found here. We will continue to update the post as roll out plans become clearer.

FURTHER IMPROVEMENTS TO EFFICIENT SIGNING

The Ready to Sign screen currently filters on Workspaces that have either documents or the FSS that are ready for signing, and allows members to navigate from one Workspace signing screen to the next.

Significant improvements have been made to the Ready to Sign screen so that the time taken for high volume transactors to sign multiple Workspaces is considerably reduced.

Improvements include:

  • Asynchronous signing, which will noticeably improve the time that it takes to navigate from one Workspaces signing screen to the next.
  • Updated the signing dongle so that the PIN only needs to be entered once per signing session (for members using signing dongles). Your PIN will timeout after 2 minutes of inactivity and will require re-entry upon signing.
    *Important: This update is automatically enabled only to Subscribers who have upgraded to the new digital certificate software, which will progressively roll out from 30 July. Subscribers who haven't upgraded to the new digital certificate software won't receive this update.
  • The ability to deep-link from PEXA Projects to the Ready to Sign screen.
  • Added a Project Name column to the Ready to Sign screen so that members can quickly identify and filter on Workspaces that have been created via PEXA Projects.
  • Added additional information on the certification signing screens so that members can quickly review the relevant Workspace details prior to signing without having to enter the Workspace.

NEW DOCUMENT: TRANSMISSION APPLICATION (APR) — NSW

From this release, subscribers are now able to lodge a Transmission Application (APR) in NSW.

If a Sole Proprietor, a Tenant in Common, or all parties in a Joint Tenancy on a title have passed away, then you can lodge a Transmission Application to appoint a legal representative to an estate. This allows an Executor, Executor by Representation, Administrator, or Trustee to obtain ownership of the title if a beneficiary hasn’t been nominated.

Note: Currently, PEXA does not support lodging a Transmission Application and a Transfer in the same Workspace. Should a Transfer be required, you would need to lodge and register the Transmission Application first, and then lodge a Transfer in a separate Workspace.

When lodging a Transmission Application (APR) in NSW, the following information is required:

  • Details of Death
  • Evidence Details
  • Consent

You are not required to attach supporting documents in PEXA for Transmission Applications in NSW.

Alternatively, if a beneficiary has been nominated, the ownership of title can be directly transferred to the beneficiary by completing a Transmission Direct to Beneficiary.

NEW DOCUMENT: TRANSMISSION DIRECT TO BENEFICIARY — NSW

New to PEXA is the ability to lodge a Transmission Direct to Beneficiary. A Transmission Direct to Beneficiary allows for a title to be directly transferred to a nominated beneficiary (without a legal representative first obtaining ownership of the title).

In this instance, when a Sole Proprietor, a Tenant in Common, or all parties in a Joint Tenancy is deceased, and a beneficiary is nominated, you would lodge a Transmission Direct to Beneficiary to transfer ownership of the title from the deceased directly to the beneficiary.

The following information is required when lodging a Transmission Direct to Beneficiary:

  • Grantee Details (Executor, Executor by Representation, Administrator or Trustee)
  • Details of Death
  • Notice of Sale
  • Stamp Duty
  • Consent

PEXA DIGITAL CERTIFICATE SOFTWARE UPGRADE

From this release, PEXA will gradually roll out the mandatory upgrade of the new Digital Certificate software to all subscribers. This new certificate software replaces the previous version and aims to offer a more secure and robust digital signing experience, with performance improvements across all browsers. The software upgrade is mandatory for any subscribers who digitally sign in PEXA. Once available, we recommend that all users upgrade to this certificate as soon as possible so they can take advantage of the performance improvements.

To prepare you for the rollout, here is information about how to upgrade to the Digital Certificate software.

 

*Note: This feature will be activated on 30 July 2018.

NEW HELP ICON

As part of a new look and feel for the PEXA top navigation bar, a new floating Help icon has been added to the Dashboard. The new Help icon replaces the previous icon, which was located on the navigation bar. The new icon provides in-context support by directing you to the relevant Help page when it is clicked.

Note: This feature will be activated in early August. In the meantime, the existing Help and Community link offers the same functionality but with the classic look and feel.

AMENDMENTS TO STANDALONE NATIONAL MORTGAGE

Previously, you couldn’t lodge standalone National Mortgage that contained multiple tenants of the same name on a single title in PEXA. When doing so, parties who share the same names had their names merged as a single party. This issue has now been fixed. From this release, you can now lodge a standalone National Mortgage where multiple tenants of the same name are on a single title. PEXA now references each party as separate title holders, even if they have the same name.

 

EXAMPLE

John Smith (holds 1/3 share of the title) and John Smith with Mary Smith (hold 2/3 share of the title) as Tenants in Common. PEXA now references each title holder correctly on the Participants screen.

NEW USER ACCOUNT AUTHENTICATION

As of 27 June 2018, PEXA will run an internal authentication process for newly created user accounts. The process involves verifying the account creation and may take up to 2 business days to complete. During this time, if further verification is required, PEXA will contact the Subscriber. New users will not be able to log in to PEXA and will not appear as a user in the Workspace until the verification is complete. Once verification is complete, PEXA will contact the relevant parties to inform them of the account status.


Security tip

Verified users with signing rights will also need to install the digital certificate in order to sign documents and the Financial Settlement Schedule. Before giving the final sign-off, please carefully check that the details on the settlement statement are correct.

Whilst PEXA makes it a priority to provide a safe and secure platform for you to process online settlement transactions, we encourage you to learn more about how you can protect your account.

 

TIMESTAMPS ON THE FINANCIAL SETTLEMENT SCHEDULE

As of 27 June 2018, the Financial Settlement Summary has been enhanced to include information of when a destination line item was last modified.

The Destinations or Adjustments and Payments tab have three new columns added:

  • Bank Name – The financial institution where the account is held.
  • Last Updated By – The name and username of the user who last modified the line item.
  • Last Updated – The timestamp of when the line item was last modified.

In addition, when giving the final sign-off for settlement, the Document Signing screen displays the transactions created by the subscriber, based on their current role.

Note: Please carefully check all details are correct before signing the settlement statement.

Is the change "Ability to retain filters on the main (active) dashboard", which was pulled from R8.0.1, in scope for delivery in this Release 8.0.2?

Is it correct that when Consent is referred to in two new transmission document notes, that this is in relation to the CoRD Consent, which means that if there is a MoT then either:
1. MoT will be invited into the workspace to load the CoRD; or
2. Lodge a CoRD prior to the transmission to be lodged?

Hi @Clarkee,

 

You are correct that this is in relation to the CoRD Consent. In the scenario where there is a MoT who is not Discharging their mortgage (and is the CoRD holder) needs to consent to a Transmission on PEXA, they will need to be invited into the workspace to load a third party consent.

 

For option 2, a standalone CoRD consent prior to lodgement is available for paper registry instruments only.

Will the Mortgagee on Title be able to see a rendered copy of the Transmission Applications once they have been created in the workspace, much like they are able to sight the Transfer?

Hi @Clarkee,

 

Although you will not be able to see a rendered copy of the Transmission Application, you will be able to see the Deceased Proprietors and the Applicant Party names on the Documents Screen.
