Avoiding, Fixing or Troubleshooting documents stuck in Lodgement Verification

 

Once documents have been prepared in PEXA, the information is sent to the Land Registry to verify that they are successful before they can be signed.  

 

If your documents have been successfully verified, they will have a green "Successful" in the document verification column in the documents screen.

If there is an issue, your documents should present an unsuccessful verification, with notes from the Land Registry on what the issue is and how to fix it. 

If you receive no response, after approximately a minute, it is likely because the Land Registry cannot identify the error.   In this instance, the documents can become stuck in verification, and you will need to get them out of verification before you can identify the issue and re-verify.

An easy way to stop the documents from verifying without removing them, is to create and remove a dummy document (usually a transfer). Once this is done, you will be able to re-prepare the documents.  Once all documents are back to a "prepared" status, they will automatically verify again.

 

Our support centre will also be helpful to identify the reason for why it may have been stuck in the first place.

 

Tips and Tricks to Avoid Getting Stuck in Verification 

 

Make sure:

  1. Any organisations in the documents have the correct organisation type and any applicable ACN numbers etc. 
  2. All parties are represented correctly in the participants screen
  3. The right participants are in the right place in the documents (in the case of people with the same name, or people who exist in two places with different capacities i.e. executors)
  4. Small changes have been made to other participants after one party has signed off. 
  5. Documents are not in the correct order, or there is a document missing in the series (TA etc)
  6. Participants do not flow correctly - i.e. different versions of the party are not common on the transfer then mortgage etc.. 

 

To avoid the last minute rush, and rolling settlements, when fixing small errors, we encourage you to stamp and prepare documents as early as possible.
