New document: Change of Name (WA)
A Change of Name document is now available in WA. If a party on title or an Interest Holder has changed their name, they can now lodge this document to have their name updated on title.
The Change of Name document can be lodged either:
Standalone, OR
Together with a Mortgage, preceding it in lodgement order.
In WA, where a proprietor requires a name justification prior to the lodgement of a Mortgage, a WA 'Change of Name' document will need to be created and signed by a representative of the proprietor.
Please note that the proprietor's representative must complete the Change of Name document.
This means that the Mortgagee will need to invite to the Workspace, a representative of the proprietor. Upon creation of a Change of Name document, the Mortgage will reflect the updated name and both documents can be lodged together in the same lodgement case.
Holders of the following Interest Types can lodge a Change of Name to update their name on title:

Create a standalone Change of Name document (high-level steps)
Create a new non-financial Workspace in the role of:
Proprietor on Title,

To Deal with an Interest.
Represent the party who is changing their name:
Enter their updated name in the Name field.
Select a Justification reason.
Note: If the party is an organisation, then an ACN code must be provided on the Party screen. Both the ACN code and updated organisation name must match the ASIC Register.
Create a Change of Name document. Only parties who are represented and have a name justification will have their details pre-populated here. Check that the pre-populated information is correct and that an address has been provided. If there are multiple parties with a name justification, then create a change of name document for each party within the same lodgement case.
Save the document.

Making transacting in PEXA easier
We are continuously looking at ways to make transacting in PEXA more efficient and to reduce the amount of time it takes to complete a transaction. We have continued this work in R11.1.0 by:
Removing the cog icon from the Stamp Duty (VIC only), and Land Titles screens so that you can see the next available action instead.
Defaulting fields where possible to save you time and clicks. In this release, we have defaulted the Title field on the NSW Consent and Caveat documents, the VIC Withdrawal of Nomination and Caveat documents and the Customer Reference on a VIC Caveat

Enhancements to Tasks
For R11.1.0, we have improved some of the Tasks so that they more effectively guide you through your transaction. These enhancements include:
Updating the Complete Transfer task so that it displays only if a Transfer document is incomplete. In the past, this task has caused much confusion as it continued to display until all other documents and stamp duty were completed.
Updating the Create Consent task, which previously only displayed for those in the role of Consentor. This task now displays to the Proprietor on Title when there is no Mortgage on Title in the Workspace.
Updating the VIC Complete Stamp Duty Estimate in Duties Online System task so that it only displays when it is possible to complete your duty assessment in Duties Online.
Correcting the Signing Financial Settlement task, so it displays when you have dual signing enabled.
Correcting the Sign Documents tasks, so it displays for QLD users who don't have signing rights.
We have removed the Create Transfer Task for Workspaces that are marked with the transaction type of Non-Transfer

New Workgroup Column on the Active Dashboard
We've added a new Workgroup column to the Active dashboard so you can filter and sort by Workgroup. This column provides greater visibility of your team's workload, making it easier to manage.

New User Type column on Manage Users screen
We've added a new 'User Type' column to the Manage Users screen so Subscriber Managers can quickly identify the type of user. Subscriber Managers will now be able to sort and filter by user type. We've also added this column to the Subscriber User Support screen so that member support staff can easily see the user type when taking support calls.

Updated the Document Reference field in a National Mortgage
Some banks have advised us that the Document Reference should be a mandatory field in a National Mortgage. From this release, a Subscriber Manager has the option to enable this as a compulsory field for Financial Institutions.
Enable Document Reference as mandatory field
Navigate to the Administrator Tools > Manage Subscriber Details screen.
In the National Mortgage – Set Document Reference to Mandatory section, select Yes. By default, this option is disabled.
After making the above selection, you can create or edit a National Mortgage document, and the Document Reference will be mandatory in the Terms and Conditions section of the screen.

Email notification when Transfer document is un-signed
We are now notifying you via email when your Transfer document has been unsigned. Hopefully, this means any last-minute unsigning of a Transfer can be quickly rectified, and settlement can go ahead as scheduled.

Simultaneous Settlement Notifications
Further enhancements around broken simultaneous settlement links have been introduced into this release.
In scenarios where simultaneous settlement financial links are de-linked due to an automated process – i.e. where a PEXA user has not actively removed the link – then the link owners (the participants who send and accept financial settlement links) will receive enhanced emails and notifications informing them of the broken link.
This is in addition to the current notifications in the history page of the impacted workspace.

Enhancement to Document type: Mortgage of an Interest (WA)
PEXA has enhanced the WA Mortgage to support Mortgages of an Interest in Land to allow for the following:
Up to 20 titles can be added to the Workspace.
Multiple Interests across all titles in the Workspace can be mortgaged in the same document as long as they share the same Interest Holder(s) and Tenancy structure.
Multiple Interest Types can be mortgaged.
Currently, not supported in PEXA:
Mortgage of an Interest where the mortgage is to affect only part of the Land in the Interest.
Mortgage of an Interest and Mortgage of the Fee Simple (Land) in the same document.

Enhancement to Document type: Mortgage of Part of the Land (WA)
PEXA has enhanced the WA Mortgage to support the Mortgage of Part of the Land in a Title. This enhancement supports scenarios where the Mortgage is multi-lot, and the mortgage is to be registered over a sub-set of the titles lots.
The enhancements include the ability to lodge:
Mortgage of a sub-set of a title's lots (parcels).
Mortgage of multiple titles, some whole of the land and some part of the land.
Currently, not supported in PEXA:
Mortgage of Part of the Land using a free-text description.

PEXA has extended the scope of WA Caveats to support more scenarios. Additionally, WA Land Registry have revised their Claim Categories and Statements and included the category of 'Other' to support those that don't fit into the specified categories.

Displaying Issuing Details on Document List header (VIC and WA)
PEXA has enhanced visibility by displaying the Issuing Details information on the header of the Document List screen.
Similar to the display of 'Responsible Subscriber' on the Document List screen, by displaying Issuing Details information, this should alleviate the need for Subscribers to edit the Lodgement Instructions unnecessarily.

We've extended the scope of what can be transacted on in PEXA for a WA title:
Title Types – Freehold (existing), Community Title, Crown, Leasehold Strata, Leasehold Survey-Strata, Strata, Strata Plan, Subsidiary Title for Leasehold Purposes
Estate Types – Fee simple (existing), Crown Land, Leasehold
Sub Jurisdictions – Western Australia (existing)
Party Capacity Types – Executor, Administrator, Trustee in Bankruptcy. (Note: Party Capacity cannot currently be used in WA Transfers).

As part of Registry Information Supply, WA Land Registry will now provide PEXA with more Interests in Land. PEXA will display these under the Other Interests section of the Land Titles screen for the member's view.

Updates to the Model Participation Rules extended to WA
Updates to the Model Participation Rules (MPR), defined by ARNECC, have been extended to WA documents. This update includes the recognition of an agent (i.e.: administrator or attorney) transacting on behalf of a client.
When a Subscriber navigates to the Document Signing screen, they’ll see the updated certifications for the document:
Previous: The Certifier has taken reasonable steps to verify the identity of the [transacting party].
Updated: The Certifier has taken reasonable steps to verify the identity of the [transacting party] or his, her or its administrator or attorney.
Subscribers are required to comply with the MPR made by the Registrar. By signing the documents, the Subscriber certifies that they comply with their obligations, as stated in the MPR.
As of R11.1.0, all jurisdictions, except NSW, have adopted this updated certification.

Extended scope of Part Tenancy Transfers (NSW)
PEXA has worked closely with NSW Land Registry Services and State Revenue Office to open up Joint Tenancy titles for use in a PEXA Part Tenancy Transfer.
When a title's proprietors have a Tenancy Type of Joint Tenants, ALL Proprietors must be included as Transferors and represented in the Workspace. This requirement has been added to prevent a Transfer that might attempt to 'Sever the Joint Tenancy'.
Proprietors on Title can then be re-selected to be used as Transferees, as required.
This change allows the following scenarios to be completed in PEXA using a Part Tenancy Transfer:

Joint Tenant – Joint Tenant
Joint Tenant – Tenant in Common
