PEXA Planner Release 3.0 PEXA is pleased to present PEXA Planner Release 3.0, scheduled for business go-live on 13 th August 2020.   Feature updates: Beta version: ‘Get to Ready’ dashboard Added PEXA Planner to the apps menu Beta version: ‘Get to Ready’ dashboard We’re rolling out a beta version of the Get to Ready dashboard. Designed for Financial Institutions, the Get to Ready feature allows users to filter for Workspaces with outstanding actions that are ready to complete.   You can filter by: Role: Incoming Mortgagee Mortgagee on Title Action: Create mortgage document Sign PEXA document Sign FSS Sign Discharge document (Mortgagor on Title only)     The actions listed for each role will search for Workspaces that match the following conditions: Action Workspace conditions Create mortgage document Incoming proprietor’s names have been added as a party in the Workspace Sign PEXA documents The transfer is in Prepared status Payout entered Sign the FSS The payout figure has been entered into the FSS All Transfer, Discharge and Mortgage document status is in Prepared status Sign Discharge document The transfer document has been created (In Preparation status)     By default, the beta version of the Get to Ready dashboard is accessible to everyone but only Financial Institution users in the role of Incoming Mortgagee or Mortgagee on Title will have full applicable functionality. If you’re a Subscriber in another role, this functionality with be limited. To access the new dashboard, click the Get to Ready link on the left hand menu then refine actionable Workspaces by using the Filter.   Added PEXA Planner to the apps menu We’ve added PEXA Planner to the apps menu in PEXA Exchange, allowing you to seamlessly move between PEXA Exchange and PEXA Planner.   Clicking on the PEXA Planner link opens the PEXA Planner landing page in a new tab where you can then enter your credentials to log in to PEXA Planner. PEXA is pleased to present the release of PEXA Projects 7.1.0 (PoT & MoT), scheduled for business go live 13 th July 2020.   New feature: Bulk Withdraw Workspaces (PoT & MoT) In this release, we are launching the Bulk Withdraw Workspaces feature, available to both Proprietors on Title and Mortgagors on Title. In just a few clicks, you can now safely and efficiently withdraw from multiple Workspaces that you no longer wish to participate in. After withdrawing from a Workspace, you are removed from the Workspace and can no longer view or edit details within the Workspace. If you'd like to rejoin the Workspace, you'd need to be invited back into the Workspace.   Using Bulk Withdraw Workspaces In your project, navigate to Manage Workspaces > Bulk Withdraw Workspaces from the side navigation panel. A list of active Workspaces displays. Use the checkboxes to select the Workspaces you’d like to withdraw from. The number of Workspaces you may select at any one time is limited to the number of entries displayed on the screen. Either scroll through the list or refine the Workspaces by using the Search Workspaces function. Click BULK WITHDRAW. When prompted, click YES to confirm withdrawal from the Workspace.   Results: After bulk withdrawing from Workspaces, you’ll be taken to the main Dashboard where you can easily identify withdrawn Workspaces by their grey shading. In PEXA Exchange, if other participants are still in the Workspace at the time you withdraw, then the Workspace will remain active but you’ll no longer have access to it. If you withdraw from the Workspace as the last participant, then the Workspace will move to the Abandoned folder.    ... View more

UPDATE: There is no expected outage during the rollout of this release.   Key Highlights Introducing land title address lookup service (QLD) (Updated 31 July 2020) Ability to sign a Discharge prior to lodgement verification (ALL) Ability for all Workspace participants to view a Priority Notice (QLD, NSW, VIC) (Added 9 July 2020)   Other Highlights Lodgement verification is automatically triggered for a Consent (NSW)  (Removed 10 August 2020 - feature release date TBC) Lodgement verification is triggered before stamp duty has been completed (SA)  (Removed 10 August 2020 -feature release date to be TBC) Ability to attach documents to a Settlement Notification (ALL) (Updated 4 August 2020 - link to help article) Trigger search with one click (ALL)       Introducing land title address lookup service (QLD) Note: This feature will go live to QLD members on Wednesday 5th August.   We’re introducing a QLD land title address lookup service. With address lookup, the address field automatically populates and refines as you type, allowing you to quickly and efficiently search for a valid address without having to type in the full address. QLD will be the first jurisdiction to benefit from this exciting initiative, with other jurisdictions to follow. How it works To use address lookup functionality, navigate to the Land Titles screen, then click the Add Address button; the new and improved address entry screen displays. Start typing and a list of suggested addresses will appear that you can select from via the drop-down. Continue typing the address to further refine the search results. If an address can’t be found using the lookup, then you can enter the address manually by clicking the link beneath the results.       (Referencing PEXA FS-7445) Trigger search with one click Selecting a Smart Search suggestion will now trigger the search straight away and take you to your Workspace faster.       (Referencing PEXA PERF-718) Ability to sign a Discharge prior to lodgement verification (ALL) As of this release, Mortgagees can sign their Discharge of Mortgage prior to it undergoing Lodgement Verification. This means that you’ll no longer have to wait for other participants in the Workspace to progress their documents prior to signing off on your Discharge of Mortgage.     (Referencing PEXA LS3-4352) Ability for all Workspace participants to view a Priority Notice (QLD, NSW, VIC) From this release, all participants in a Workspace will be able to view Priority Notice documents. This will save you having to request or send copies of Priority Notices by email. Note: Extension of Priority Notice and Withdrawal of Priority Notice documents are excluded. Hi @kennedsh  In paper, the party capacity is likely to be shown in brackets after the party name (e.g. Tom Sullivan (as Trustee)) and in digital, this is where the QLD LR have decided to render the party capacity. PEXA is pleased to present the release of PEXA Projects, Release 7.0.0, scheduled for business go live 01 June 2020.   Updates to Bulk Workspaces Upload for QLD We’ve enhanced the Bulk Upload Workspaces tool for our QLD subscribers. In this upcoming release, if you are a QLD subscriber with your default data setting turned on*, you will be able to use the Bulk Workspaces Upload Wizard to import sales data into your project’s Workspaces, along with your other Workspaces’ information. This will include: Cash amount Deposit paid Vendor terms about Liabilities amount Contract rebate amount Agreement date Date of possession * For the initial release of this enhancement.   Upon creating your documents in your projects’ Workspaces, the sales information that you have uploaded will automatically be populated into your Transfer, Form 24a and Form 24b documents. IMPORTANT: Bulk upload of sales data will not update Transfer, Form 24a and Form 24b documents that are already existing in the Workspace. Those will remain unchanged and signed, if previously signed. Updates can be made to individual documents via PEXA Exchange, if required, subject to business rules. How do I access the sales data upload capability? The access to the Bulk Upload Workspaces tool, where the new capability is included, remains unchanged. It is accessible under the side navigation menu Manage Workspaces > Bulk Upload Workspaces. What has changed in the wizard? 1. On the ‘Upload a file’ step For QLD subscribers toggled on for default data, the downloadable sample template will now include additional columns, designated for sales data:    2. On the ‘Setup and map’ step A new ‘Data’ tab will be displayed for the mapping of your uploaded sales data. 3. On the ‘Review and confirm’ step A new ‘Data’ tab will be displayed with the sales data you have mapped. Errors such as an exceeded upper limit of the amounts’ fields, incorrect format and agreement date that is not in the past, will be highlighted on the screen and must be rectified prior to committing your upload. All other functionality remains as you know it, e.g. the ability to add and delete records within the ‘Review Workspaces’ table and viewing the upload outcomes. What has changed in the Workspace? Once committed, any sales data uploaded for the Workspace using the Bulk Upload Workspaces tool will pre-populate the Transfer, Form 24a and Form 24b documents you will next create in PEXA Exchange.     The ability to edit these fields will be available to the Proprietor on Title role in the Workspace.   Note: The ‘Add Workspaces’ (manual) functionality remains unchanged and will not include the additional sales data fields provided for bulk upload of Workspaces. ... Last updated: 11 October 2021 Jurisdiction: NSW Additional Resources: Help Card   Overview If a joint tenant is deceased and there is at least one surviving tenant, then the surviving joint tenant(s) can make an application to the Land Registry to have the deceased’s name removed, so that only the surviving proprietor’s name is on the Title. If all joint tenants are deceased or the tenancy type is Tenants in Common, then lodge a Transmission instead.   In New South Wales, a Notice of Death: Can be processed for Joint Tenant Title, Can be processed for Tenants in Common Titles that have Joint Tenants groups, All surviving Joint Tenants must be represented in the Notice of Death. Note: If there are multiple joint tenants in the tenancy group and one or more surviving tenant will remain on title, a Notice of Death application for each deceased proprietor must be prepared in a separate workspace. A Notice of Death can be lodged as a standalone, or in combination with any of the following document types supported in PEXA: Discharge of Mortgage Withdrawal of Caveat Mortgage Transfer Part Tenancy Transfer Evidence requirements When lodging a Notice of Death in PEXA, you are not required to upload evidentiary material, however, you are still required to provide evidence details and retain the evidence for auditing purposes. PEXA accepts the following evidence types: Death Certificate Certificate under NSW Trustee and Guardian Act Coroners Report Medical Certificate certifying death   Steps Create Workspace with the following settings: Transaction Type = Notice of Death Role = Proprietor on Title. Financial Settlement = No. Check that the details returned from the Land Registry are correct: The tenancy type is Joint Tenants or Tenants in Common with a Joint Tenancy group. Mark the proprietor as deceased: Navigate to the Participants screen from the left-hand-side menu. Select Edit Party from the Actions column next to the deceased party. Select The Proprietor is Deceased. In the Details of Death panel, click Add Details of Death and enter the date of death: Actual date, Date range, or Date description. Click Confirm. Save the changes. Note: If there is more than one deceased tenant, then you must create a Notice of Death document for each deceased party in a separate Workspace. Represent the surviving tenant: Note: If there is more than one surviving joint tenant, you are required to represent only one of the surviving tenants in the Workspace. On the Participants screen, select Edit Party from the Actions column next to the surviving party you represent. In the Party Details panel, enter all required information: Full name of the surviving tenant (this must match the name registered on title). Date of birth. Address details (required for the Notice of Sale (enter if the address does not appear in the available addresses). Save the changes. Create the Notice of Death document: Note: If there is more than one deceased tenant, then you must create a Notice of Death document for each deceased party in a separate Workspace. Navigate to the Documents screen from the left-hand-side menu. Select Create Documents > Notice of Death. Some details on this form are pre-populated from the information you entered on the Participants Under Deceased Proprietor Details, check that the deceased party is correctly listed and then add the evidence details: Select an Evidence Type. Enter the Evident Document Reference ID. Enter the date the certificate or report was dated. Check that the Surviving Tenant Details is correct. If there are multiple surviving tenants, only one tenant is required to be listed here. If you need to make any corrections, go to the Participants screen and edit the Party Click Save to create the document. Edit the Notice of Sale: Upon creation of a Notice of Death document, a Notice of Sale document is automatically generated. On the Documents screen, select Edit next to the Notice of Sale. In the Property Details panel, enter the Locality (i.e.: the name of the local government area). In the Service of Notice Details panel, ensure the details are correct and a Service of Notice Address has been added. Ensure that the Acquisition Date is correct; If necessary, update the date. The Acquisition Date can be different from the actual date of death if the date of death is unknown. Click Save. Sign, and lodge the Notice of Death application: On the Documents screen, select Edit next to Lodgement Instructions. Check that the details are correct and then click Save. If document verification is successful, and each document in the lodgement case is prepared and successful, signing will be available for that document. Select Sign next to Lodgement Instructions to go to the Document Signing Review the signing terms and conditions listed in the Lodgement Instructions panel and then select the Sign all check box.   Results Once the Notice of Death is lodged with the Land Registry, the deceased tenant will be removed from the Title. Note: PEXA currently does not support the transfer of dutiable interest in NSW. Therefore, a transfer of interest for a lease or sub-leases is not supported as they require duty assessment. The Transfer of Interest document can be created by participants in the following roles: Mortgagee on Title—if you are transferring a Mortgage. To Deal with an Interest—if you are transferring an Annuity OR if you represent the party receiving the Interest (this role is not available to Principal FIs). To process a Transfer of Interest (of Mortgage or Annuity Charge), you are not required to complete a Notice of Sale.   Steps Create a Workspace with the following settings: Transaction Type: Other Transfer > Transfer of Interest Jurisdiction: NSW Representative Role: To deal with and Interest or Mortgagee on Title Will this transaction involve a Transfer?: Yes Complete the other fields as required. Note: If the Workspace will not have have a financial settlement date and time, the party representing the Mortgagee on Title will need to wait for the To Deal with an Interest role to create the Workspace. Review the Land Title. Note: Multiple titles can be added to the Workspace to transfer the mortgage or annuity across the titles. Represent the participants: Invite the Interest Holder into the Workspace by clicking Invite Participant. Represent the Mortgagee on Title or Interest Holder on Title by selecting Edit beside the unrepresented party. Note: Ensure that the party is invited in the role of Mortgagee on Title. This allows the Mortgagee on Title to exercise their right as the Interest Holder, to transfer the Interest to another party. Create a Transfer of Interest document: Navigate to Documents > Create Document > Transfer of Interest. Complete the following fields on the Transfer of Interest screen: Titles Check that the Title is correct. Interest Affected Select the Mortgage or Annuity Charge to which the interest holder is transferring. Note : Multiple titles can be added to the Workspace to transfer the mortgage or annuity across the titles. Tenancy Details Select the Tenancy Type and Party. The new interest holder of the interest is populated as the Transferee. Consideration Type Select a Consideration type and fill in the subsequent fields. Save the document. Sign the Transfer documents. The parties in the role of Mortgagee on Title and To deal with an Interest both need to sign the documents. If applicable, prepare and sign the financial settlement. Published: 10 February 2020 Jurisdiction: WA Additional Resources: Help Card   ­­Overview A Change of Name document is now available in WA. If a party on title or an Interest Holder has changed their name, they can now lodge this document to have their name updated on title. The Change of Name document can be lodged either: Standalone, OR Together with a Mortgage, preceding it in lodgement order. In WA, where a proprietor requires a name justification prior to the lodgement of a Mortgage, a WA 'Change of Name' document will need to be created and signed by a representative of the proprietor. Please note that the proprietor's representative must complete the Change of Name document. This means that the Mortgagee will need to invite to the Workspace, a representative of the proprietor. Upon creation of a Change of Name document, the Mortgage will reflect the updated name and both documents can be lodged together in the same lodgement case. Holders of the following Interest Types can lodge a Change of Name to update their name on title: Carbon Covenant Benefit Carbon Right Caveat Charge Crown Lease Lease Mortgage Plantation Interest Profit-a-Prendre Sub Lease The following optional attachments may be submitted for lodgement with a Change of Name document:   ­­Steps Create a new Workspace with the following settings: Representative role: Standalone: Proprietor on Title–if representing the registered proprietor on title, Mortgagee on Title–if representing the registered mortgagee on title, Caveator on Title–if representing the registered caveator on title, or To Deal with an Interest–for all other roles that deal with interest, such as change of name of a Lessee or holder of a Plantation Interest, etc. Financial Settlement = No Review the Land Title: Review the On Title party names Check the other land title details returned from Land Registry. Select the party to justify: Note: In a refinance/new mortgage, invite the Proprietor on Title into the Workspace and wait for them to represent the party. Navigate to the Participants screen. ClickEdit Party next to the party who is changing their name. For Representation, leave I represent this party In the Name field, enter their new name. In the Name On Title section, select a Justification reason. Complete these steps for each party who has changed their name. Note: If the party is an organisation, then an ACN must be provided on the Party screen. Both the ACN and updated organisation name must match the ASIC Register. Save the changes. Create a Change of Name document: Note: In a refinance/new mortgage, the Proprietor on Title must create the Change of Name document first. Navigate to Documents > Create Document > Change of Name. By default, the represented party’s details is pre-populated with the name you updated in Step 4. Add a correspondence address Click Save. Notes: Only parties who are represented and have a name justification will be pre-populated here. Check that the pre-populated information is correct and that an address has been provided. If there are multiple parties with a name justification, then create a change of name document for each party within the same lodgement case. Edit the Lodgement Instructions You will need to Edit the Lodgement Instructions to progress your status to Prepared.  From the Actions column select Edit to edit the Lodgement Instructions. Review the information and click Save. Note: If the Title is a Duplicate Certificate of Title, ensure you enter the Duplicate Holding Details and select the appropriate Issuing Details for the new Certificate of Title. You can now view and sign the caveat. Before you Sign, it is important to view the rendered document to confirm details. From the Actions column select View to view the Lodgement Instructions and Change of Name. From the Actions column select Sign to sign the Lodgement Instructions and Change of Name. Once signed, select Submit for Lodgement from the Actions column. The holder of either a Mortgage or Charge interest can now transfer their interest to a new interest holder. As part of R11.1.1*, PEXA members will be able to now complete the details of the Purchasers Payment Notification and lodge it with the ATO. Once successfully lodged, a FRCGW destination line item is automatically created with the payment reference number and amount, unique to the client(s). Upon settlement, the payment(s) will be directed accordingly to the ATO. Previously, the screen dynamically updated as you changed your filter selection. If a party on title or an Interest Holder has changed their name, they can now lodge this document to have their name updated on title. The Change of Name document can be lodged either: Standalone, OR Together with a Mortgage, preceding it in lodgement order. In WA, where a proprietor requires a name justification prior to the lodgement of a Mortgage, a WA 'Change of Name' document will need to be created and signed by a representative of the proprietor. Please note that the proprietor's representative must complete the Change of Name document. This means that the Mortgagee will need to invite to the Workspace, a representative of the proprietor. Upon creation of a Change of Name document, the Mortgage will reflect the updated name and both documents can be lodged together in the same lodgement case. Holders of the following Interest Types can lodge a Change of Name to update their name on title: Carbon Covenant Benefit Carbon Right Caveat Charge Crown Lease Lease Mortgage Plantation Interest Profit-a-Prendre Sub Lease The following optional attachments may be submitted for lodgement with a Change of Name document: Australian Securities Investment Commission Certificate Change of name certificate Citizenship certificate Consent letter Court Order Marriage certificate Other Statutory Declaration   Create a standalone Change of Name document (high-level steps) Create a new non-financial Workspace in the role of: Proprietor on Title, Mortgagee on Title, Caveator on Title, or To Deal with an Interest. Represent the party who is changing their name: Enter their updated name in the Name field. Select a Justification reason. Note: If the party is an organisation, then an ACN code must be provided on the Party screen. Both the ACN code and updated organisation name must match the ASIC Register. Create a Change of Name document. Only parties who are represented and have a name justification will have their details pre-populated here. Check that the pre-populated information is correct and that an address has been provided. If there are multiple parties with a name justification, then create a change of name document for each party within the same lodgement case. Save the document.   (Referencing PEXA LS4-3744)   Making transacting in PEXA easier We are continuously looking at ways to make transacting in PEXA more efficient and to reduce the amount of time it takes to complete a transaction. We have continued this work in R11.1.0 by: Removing the cog icon from the Stamp Duty (VIC only), and Land Titles screens so that you can see the next available action instead. Defaulting fields where possible to save you time and clicks. In this release, we have defaulted the Title field on the NSW Consent and Caveat documents, the VIC Withdrawal of Nomination and Caveat documents and the Customer Reference on a VIC Caveat   (Referencing PEXA S-5892, FS-5889, FS-5890, FS-6080, FS-5455)   Enhancements to Tasks For R11.1.0, we have improved some of the Tasks so that they more effectively guide you through your transaction. These enhancements include: Updating the Complete Transfer task so that it displays only if a Transfer document is incomplete. In the past, this task has caused much confusion as it continued to display until all other documents and stamp duty were completed. Updating the Create Consent task, which previously only displayed for those in the role of Consentor. This task now displays to the Proprietor on Title when there is no Mortgage on Title in the Workspace. Updating the VIC Complete Stamp Duty Estimate in Duties Online System task so that it only displays when it is possible to complete your duty assessment in Duties Online. Correcting the Signing Financial Settlement task, so it displays when you have dual signing enabled. Correcting the Sign Documents tasks, so it displays for QLD users who don't have signing rights. We have removed the Create Transfer Task for Workspaces that are marked with the transaction type of Non-Transfer   (Referencing PEXA FS-5754, FS-5851, FS-6065, FS-5753, FS-5939, FS-5768)   New Workgroup Column on the Active Dashboard We've added a new Workgroup column to the Active dashboard so you can filter and sort by Workgroup. This column provides greater visibility of your team's workload, making it easier to manage.     (Referencing PEXA UI-442)   New User Type column on Manage Users screen We've added a new 'User Type' column to the Manage Users screen so Subscriber Managers can quickly identify the type of user. Subscriber Managers will now be able to sort and filter by user type. We've also added this column to the Subscriber User Support screen so that member support staff can easily see the user type when taking support calls.     (Referencing PEXA UI-445)   Updated the Document Reference field in a National Mortgage Some banks have advised us that the Document Reference should be a mandatory field in a National Mortgage. From this release, a Subscriber Manager has the option to enable this as a compulsory field for Financial Institutions. Enable Document Reference as mandatory field Navigate to the Administrator Tools > Manage Subscriber Details screen. In the National Mortgage – Set Document Reference to Mandatory section, select Yes. By default, this option is disabled. After making the above selection, you can create or edit a National Mortgage document, and the Document Reference will be mandatory in the Terms and Conditions section of the screen.   (Referencing PEXA FS-6138, FS-6156)   Email notification when Transfer document is un-signed We are now notifying you via email when your Transfer document has been unsigned. Hopefully, this means any last-minute unsigning of a Transfer can be quickly rectified, and settlement can go ahead as scheduled.   (Referencing PEXA FS-6106)   Simultaneous Settlement Notifications Further enhancements around broken simultaneous settlement links have been introduced into this release. In scenarios where simultaneous settlement financial links are de-linked due to an automated process – i.e. where a PEXA user has not actively removed the link – then the link owners (the participants who send and accept financial settlement links) will receive enhanced emails and notifications informing them of the broken link. This is in addition to the current notifications in the history page of the impacted workspace.   (Referencing PEXA SETT-8593)   Enhancement to Document type: Mortgage of an Interest (WA) PEXA has enhanced the WA Mortgage to support Mortgages of an Interest in Land to allow for the following: Up to 20 titles can be added to the Workspace. Multiple Interests across all titles in the Workspace can be mortgaged in the same document as long as they share the same Interest Holder(s) and Tenancy structure. Multiple Interest Types can be mortgaged. Currently, not supported in PEXA: Mortgage of an Interest where the mortgage is to affect only part of the Land in the Interest. Mortgage of an Interest and Mortgage of the Fee Simple (Land) in the same document.   Supported interest types The supported Interest Types for the Mortgage of an Interest Document is not limited to Lease and Sub-Lease interests only. This update includes the recognition of an agent (i.e.: administrator or attorney) transacting on behalf of a client. When a Subscriber navigates to the Document Signing screen, they’ll see the updated certifications for the document: Previous: The Certifier has taken reasonable steps to verify the identity of the [transacting party]. When a title's proprietors have a Tenancy Type of Joint Tenants, ALL Proprietors must be included as Transferors and represented in the Workspace. This requirement has been added to prevent a Transfer that might attempt to 'Sever the Joint Tenancy'.
