PEXA Planner Release 4.1   PEXA is pleased to present PEXA Planner Release 4.1, scheduled for business go-live on 4 March 2021. That’s why we’ve added an option that lets you indicate whether or not the transaction is a sale or purchase. By default, members with the Enhanced Settlement Summary (ESS) enabled will have their Workspaces set to Yes.  This means the ESS calculations are enabled. See link below for details. If your transaction does not require the calculations in the ESS then go to Workspace Settings > Transaction Settings, then select No to “Is this transaction a sale or purchase”. The ESS will revert back to where the Incoming Proprietor has to manually calculate and enter the Total Funds Required to Settle (TFRS) amount into the Workspace.   Learn more about the ESS.   (Referencing PEXA AXL-2232)   Adjustments and Payments as the default view (ALL) From this release, Practitioners will notice that the Adjustments and Payments tab is now the default view on the Financial Settlement Summary screen. We’ve also taken on your feedback and moved the most important information to the top, so that’s less scrolling for you. If the Adjustments and Payments view is not for you, let your Subscriber Manager know and they can switch you back to the Destinations view.   Learn more about Adjustments and Payments.   (Referencing PEXA AXL-2278)   Source line items are grouped as vendor or purchaser line items (ALL) Note: This feature will be available post-release, with the intended go-live date of 23 March 2021.   Source financial line items on the Sources tab are now grouped as Vendor Source Line items   or   Purchaser Source Line items. This makes it clear and efficient for members to see which source line items belong to which parties.  When adding a new source line item, the item is automatically assigned to the relevant group based on your Workspace role; members of any roles can move  some of the source line items (depends on line item category) between either group as required .     Learn more about Source funds.   (Referencing PEXA AXL-2232)   Ability to invite client to PEXA Key when creating source line item (ALL) We've streamlined the experience for our members by allowing Incoming Proprietors to invite their clients to PEXA Key by selecting Source Account > PEXA Account when creating a source line item. Note: The invitation is available only if A PEXA Key invitation has not been previously sent, and if there are multiple clients in the same Workspace, then you only need to invite one client.   Learn more about Source funds.   (Referencing PEXA FS-8135)   Added new destinations payment category – Land Tax (QLD) We are introducing a new destination line item category for payments made to the Queensland OSR. PEXA members will be able to select the category “QLD Land Tax” in the role of Incoming Proprietor, which means that the category of ‘Other (BPAY)’ is no longer required for this purpose, improving visibility across Incoming Proprietor and Proprietor on Title roles.   Learn more about Destination funds.   (Referencing PEXA SETT-10997)   Ability to add a Trust Name to a Frequently Represented Party (QLD) Proprietors on Title who are set up as a Frequently Represented Party (FRP) can now be added as a trustee. hi @DMc , the new feature is an option that's available to POTs, we haven't removed the ability for IPs to change the settlement date and time, but added an option to restrict it. The POT can always turn this feature on/off as required. I've updated the heading so hopefully it's a little clearer. Apologies for any confusion!     ... View more

Last updated: 19 January 2021 Jurisdiction: WA     Overview   If a joint tenant is deceased and there is at least one surviving tenant, then the surviving joint tenant(s) can make an application to the Land Registry to have the deceased’s name removed, so that only the surviving proprietor’s name is on the Title. In WA, a Survivorship: Can be processed for Joint Tenant Title, Can be processed for Tenants in Common Titles that have Joint Tenants groups, All surviving Joint Tenants must be represented in the Survivorship. A Survivorship can be lodged as a standalone, or in combination with any of the following document types supported in PEXA: Discharge of Mortgage Withdrawal of Caveat Mortgage Transfer Evidence Requirements When lodging a WA Survivorship in PEXA, you are required to upload evidentiary material. You may select more than one evidence and for each evidence that you select, you must upload and attach supporting documents. PEXA accepts the following evidence types: Death Certificate Coroner’s Report Grant of Probate Letters of Administration Other Note: If selecting the evidence type of Other, you must also upload and attach a Statutory Declaration. Steps   Create the Workspace in the role of Proprietor on Title with the following settings: Financial Settlement = No Check that the details returned from the Land Registry are correct: The tenancy type is Joint Tenants or Tenants in Common with a Joint Tenancy group. Mark the Proprietor as deceased: Navigate to the Participants screen. Select Edit Party next to the deceased party. Select The Proprietor is Deceased. In the Details of Death section, click Add Details of Death and enter the date of death: Approximate date, Actual date, Date range, or Date description. Click Confirm. Save the changes. The Proprietor now appears as deceased on the Participants screen. Repeat Step 3 for all deceased Proprietors. Represent the surviving tenant: On the Participants screen, select Edit Party next to the surviving party. Select I Represent this Party. Check that the Party Details are correct, and provide information where required: Name Date of Birth Preferred contact phone number Address Details Select Save  The Proprietor is now shown as represented on the Participants screen. Repeat Step 4 until all surviving Proprietors are represented. Create the Survivorship document: Note: You can add multiple deceased parties to a single Survivorship in WA. Navigate to the Documents screen and then select Create Document > Survivorship. Some details on this form are pre-populated from the information you entered on the Participants screen. Check the Land Title. If there is a single title then title will be automatically populated. Otherwise, select the correct title from the list. Under Deceased Proprietor Details, check that the deceased party is correctly listed and the following details are correct and entered: Details of Death. Evidence Type: To add an evidence, select an  Evidence Type then enter the Evident Document Reference ID and Evidence Date. You may add more than one evidence type for each deceased party by clicking Add Evidence. Address: Either select an address from the drop-down or add a new one by clicking +. Check that the Applicant Details are correct and an address is entered.  All surviving tenants are required to be represented (in Step 4) and their details will be listed here. Save the document. The Document Status will be Prepared - awaiting attachment and won't move to Prepared until you upload and attach the evidence files. Upload and attach the evidence: Each evidence must have a corresponding file attached to it.  Navigate to the Files screen. Upload your file: Click Upload then Browse for your file. For File Description, select a file type under Land Registry Attachment Files that corresponds with your evidence type. Note: If you have selected an evidence type of ‘Other’ then you must: Select Land Registry Attachment Files > Other as the File Description Additionally, upload and attach a Statutory Declaration.  Click Upload. Attach your file: From the Action column, select Attach.  Select the Survivorship document.  Click Attach.  The Document Status should be Prepared.  View, Sign and Lodge the Survivorship: Note: The document status related to the Survivorship must be Prepared and Successful before you can sign the documents. If you have more than one Survivorship in the Workspace, ensure to check the order of lodgement. On the Document screen, select the View against the Survivorship(s) and review the details. On the Document screen, select the Sign against the Lodgement Instructions. Select the checkboxes for Lodgement Instructions and Survivorship(s) for all deceased Proprietors. Click Sign Documents. The documents will be verified with the Land Registry and once they are successfully verified and signed, you can go ahead and lodge the documents. If forms for a particular withholding have already been submitted through the ATO website, please avoid duplication, and do not create another form through PEXA. PEXA has made it easier for members to pay ATO GST Withholding amounts at settlement by introducing Forms 1 and 2 to the PEXA Platform. This feature will be made available as a pilot to select members, followed by a full roll out at a later date. The new ATO GST feature gives members the option to create GST Withholding Forms 1 and 2 within the PEXA platform and lodge directly to the ATO, instead of completing these forms on the ATO website. By streamlining the process and pre-populating the forms with information already provided within the Workspace, PEXA members can benefit from the following:   Less duplication of data entry and reduced errors on forms. Greater transparency of GST Withholding form(s) creation between the Incoming Proprietor and the Proprietor on Title through visibility of a rendered document, removing the need to use emails between PEXA members. Auto-creation of the GST Withholding destination line item (if there is one Proprietor on Title Subscriber within the Workspace), with the Payment Reference Number details pre-populated. And, if selected by the Incoming Proprietor, auto-lodgement of GST Withholding Form 2, with all details accurately represented  per the settlement date .   To complete Form 1 and Form 2: Ensure that the transfer document is created. For VIC and NSW -> ensure that the NOA or NOS documents have also been completed. Navigate to the   ATO   screen. Select   Create Form 1 & 2. To complete Form 1: Check the pre-populated   Contact Details. Add the   Property Details,   Transaction Details,   Purchaser Details, and   Supplier Details. Complete the   Declaration. To complete Form 2: Select   Yes. Complete the   Declaration. Save   the forms.   Line item creation: If there is one (1) POT subscriber in the Workspace, then the GST Withholding line item will automatically be created, with the PRN details pre-populated. The destination line item will be visible in the FSS destinations as Category = GST Withholding - ATO Provided.     (Referencing PEXA SETT-10621)   Lease reform Several changes have been made to the NSW Lease in this release:   Activation of sub-leases We have activated the ability to lodge a Sub-Lease in this release.   To lodge a Lease, you must be in the role of Proprietor on Title or Incoming Proprietor (if the Lease follows a Transfer). On selecting the Lease from the Document screen, the question “Is this a Sub-lease of a Lease?” defaults to No.   To lodge a Sub-Lease, you must be in the role of To deal with an Interest. On selecting the Lease from the Document screen, the question “Is this a Sub-lease of a Lease?” defaults to Yes. Now, only the Lessor is required to complete and sign the NSW Lease/Sub-Lease.   Standard Terms You can now optionally enter in the Registered Memorandum for a set of standard terms already registered with NSWLRS.   Rent Details Amount - Optional Payment Frequency - Optional Terms of Payment – Mandatory freeform text with a maximum of 200 characters Rent Description – Mandatory freeform text with a maximum of 200 characters   Attachments A Conditions and Provisions must still be attached to a NSW Lease or Sub-Lease, however, we support a range of additional attachments that may be attached if needed: Plan Caveator’s Consent Minister’s Consent Mortgagee’s Consent Statutory Declaration Supporting evidence   Lease descriptions The Part - Lease Description character limit for a Lease/Sub-Lease has been reduced to 200 characters. When multiple titles are reference in the lease, you are no longer required to provide a ‘description of the part being leased affecting all titles’. You will still be required to enter a Lease description for each Title if the Extent is ‘Part – Lease description’.     (Referencing PEXA LS3-5252)   Clients notified of bank account detail changes from PEXA Key request (ALL) PEXA Key clients have additional security and peace of mind as they are now notified of changes to their bank account details. When a practitioner creates line items from details provided through PEXA Key, their PEXA Key client will receive a notification whenever the BSB and/or account number is entered or edited in PEXA Exchange. To indicate a destination line item is using account details provided via PEXA Key, subscribers will see a PEXA Key logo and green border around name and account number in the Destination tab of the Financial Settlement Schedule. Members can also notify their PEXA Key client when the funds have been successfully received into their trust account. Members who use the PEXA Source Account will be notified when their PEXA Key client has completed the PEXA source account task and once the funds have been successfully received into the PEXA source account. A PEXA system generated notification will be sent to notify the PEXA Key client and the member.  This enhancement gives practitioners and their clients increased visibility on the status of the Trust Account or PEXA Source Account funds. Members will see the following: Updated PEXA request status to ‘Funds transferred’ on the Source tab of the Financial Settlement Schedule. When funds have been successfully received, ‘Funds Received’ status will display (manual trigger for Trust Account and automatic update for PEXA Source Account). Upon clicking ‘View’, additional status information displays on the View Account Details screen. All changes recorded in the History tab of the Workspace. Notification banner displays on the Workspace Summary screen (only for PEXA Source accounts)     Sending Source Account Details for a Trust Account OR PEXA Account       Members will see the status ‘Details sent’ for the Source Line item     Once a PEXA Key Client has completed the funds transfer and notify their practitioner via the PEXA Key app, Members will see the status ‘Funds Transferred’ for the Source Line item         When the total funds have been deposited into; The Practitioner Trust account, Members will have the ability to manually update the status to ‘Funds Received’ for a notification to be sent out to the PEXA Key Client The PEXA Source account, the Source Line item status will automatically update to ‘Funds Received’ for our Members and a notification will be sent out to the PEXA Key Client     View Account Details will contain date and time stamps for statuses that has been actioned     In addition, to continuously make transacting in PEXA more efficient, we have removed the cog icon and replaced it with the action instead so you’ll be able to see what immediate action is available and the ‘Funds Received’ actions will display an arrow beside it to indicate that another option is available. For PEXA Project Workspaces, if you are a subscriber acting in the role of Proprietor on Title we have added the ability to restrict Incoming Proprietors from amending the settlement date and time for their Project’s Workspaces. When you Create a new PEXA Project you will now find a new ‘Settlement details’ option.     Upon selecting Yes, the Incoming Proprietor representatives across all Workspaces belonging to your Project will be prevented from: Setting a settlement date and time for workspaces where settlement date has not yet been set, and Proposing a settlement date and time for workspaces where settlement date has already been set. When Incoming Proprietors who have this restriction applied tries to update the Settlement date and time, they’ll be presented with a message:     You may change this setting at any time via the Edit Project Details screen in PEXA Project. Where these details are pre-populated by the Proprietor on Title (via PEXA Projects), the Incoming Proprietors can only view the Details of Sale Price and Agreement Date. If no other documents updating the tenancy for the title exist in that Project’s Workspace, the Incoming Proprietor can save the Transfer document.   Note for Incoming Proprietors: Incoming Proprietors can create an additional Transfer document in the Workspace for the on-selling of the same title, and enter the Details of Sale Price and Agreement Date. The same applies to a Transfer of a title for which the Proprietor on Title differs from the Project’s Proprietor on Title. If you’ve already accepted the original settlements, re-accepting these can be time-consuming and needlessly put settlements at risk. To streamline the re-acceptance process and reduce disruptions, we’re introducing a new feature that remembers your previous acceptance where only the settlement time has changed. Meaning that if you already accepted the original settlement date and time, you won't need to go back into the Workspace to accept the amended settlement time. (If you hadn't previously accepted the settlement date and time, your status will remain 'Pending'.)  You'll still be notified of any changes to the settlement date or time, regardless of your acceptance. We understand that one size does not fit all, so we’ve built a switch that allows you to turn this feature off. However, we strongly encourage you to make the most of the benefits this feature will deliver to your organisation. This feature’s switch can be found by navigating to Administrator Tools > Manage Subscriber Details then scrolling down to the Financial Settlement section.     (Referencing PEXA LS2-12594) New 'Requisitioned' status on the Document screen (ALL) As of this release, PEXA will be able to receive a document status of Requisitioned from the Land Registry. This new status displays on the Document Status column on the Document screen. After the responsible subscriber submits documents for lodgement, the Land Registry will examine these instruments and if they encounter an issue with it, the Land Registry can return the document with a Requisitioned status. The responsible subscriber will then be contacted by the Land Registry to rectify it. Note: This functionality will be activated in PEXA; however, the Land Registry will determine when they will start sending the Requisitioned status.     (Referencing PEXA LS1-7080) Show the date and timestamp of Invitations on the Participants Screen (ALL) It’s now easier to track and follow up on participants with Pending Workspace invitations. The date and time of when an invitation was sent will now be shown next to the participant’s name on the Participants screen who has yet to accept their invitation.     (Referencing PEXA LS4-7656) Ability to view a rendered ‘In Preparation’ Transfer document (ALL) Subscribers will now be able to view a rendered version of a Transfer, regardless of its document status. This enables them to review details of a Transfer and make an informed assessment before proceeding in the Workspace (for example, progressing with a Mortgage). The following Subscribers will have access to this new feature: Incoming Proprietors or Proprietors on Title who created the document or represent a party referenced in the document, and Incoming Mortgagees To view a rendered version of a Transfer: Navigate to the Documents screen. Select View from the Actions column next to the Transfer document.     (Referencing PEXA LS4-7657) Restricted the ability to create Residual documents to certain roles (SA, NSW & VIC) From this release, we’ve restricted the ability to create a residual document if you’re not in the correct Workspace role for the selected residual document. This change was introduced to minimise lodgement errors and ensure only participants in the correct Workspace roles can create the selected residual documents. All participants can still search and open any residual document, but only participants in the correct role can edit and save the document. All other participants will see an error message at the top of the document and the Create button will be disabled. An example of this is where a Change of Name residual document must be created in the role of Proprietor on Title. However if a participant in the role of Incoming Proprietor opens this document, they can only view it but not edit or save it as the Create button will be disabled.   (Referencing PEXA LS1-7077 LS1-6769) Extended Address Lookup to Party screen and selected documents (QLD) The introduction of the Address Lookup service on the Land Title screen in QLD assisted our members by reducing the number of clicks which turn saved them time. It also enriches our user experience and improves our data quality.   We are extending the Address Lookup service in QLD to the Party screen and for selected documents that require an address such as the Transfer, Transmission & Caveat documents.  With Address Lookup, the address field automatically populates and refines as you type, allowing you to quickly and efficiently search for a valid address without having to type in the full address.   How it works To use Address Lookup on the Party screen, click Add Address and new and improved address entry screen displays.  Start typing and a list of suggested addresses will appear that you can select from via the drop-down.  Continue typing the address to further refine the search results.    If an address can’t be found using the lookup, then you can enter the address manually by clicking the link beneath the results.    Similarly, for documents that require addresses, when creating or editing the document (e.g. Transfer), click on the Add Address button or the ‘+’ button and you’ll be able to enter an address using the Address Lookup.   (Referencing PEXA FS-8289) Repositioned the Add / Edit Address buttons on a Transfer and Caveat (QLD) To improve usability and standardise the experience of adding and editing addresses within documents, we have updated the Add Address and Edit Address buttons by replacing the text buttons with icons and aligning the buttons next to the address field. If a joint tenant is deceased, then the surviving Tenant(s) can make an application to the Land Registry to have the deceased’s name removed, so that only the surviving proprietor’s name is on the Title. In WA, a Survivorship: Can be processed for tenancy types of Joint Tenancy or Tenants in Common with Joint Tenant groups. All surviving Joint Tenants must be represented as applicants. Multiple deceased can be registered in the same Survivorship document. Multiple Survivorship documents can be lodged in the same lodgement case. Can be lodged as a standalone, or in combination with a Transfer in PEXA. You’re required to provide supporting evidence of the death such as a Death Certificate, or Letter of Administration when lodging a WA Survivorship.     (Referencing PEXA LS4-6336) Streamlined Transfer process with the removal of OSR Compliance Data (WA) We have streamlined the Transfer documents to align with OSR requirements by removing compliance data fields that are no longer required by OSR. This results in a cleaner and simpler form, making it more efficient for you to complete Party information and the Transfer form.   The next time you navigate to the Participants or Transfer document screen, you’ll notice the removal of some fields, as noted below. This change applies to new and existing VIC Transfer and Transfer by Third Party documents where the document status is Prepared or In Preparation, and have not yet been lodged.     (Referencing PEXA LS4-7654) Updated the Certification statements to align with version 5 of MPR (NSW) The Model Participation Rules (MPR), defined by ARNECC, has been updated to include the recognition of an agent (i.e.: administrator or attorney) transacting on behalf of a client. To support this change, we’ve updated our certifications in PEXA so that it aligns with the updates made in MPR version 5.   When a Subscriber navigates to the Document Signing screen, they’ll see the updated certifications for the document: Previous: The Certifier has taken reasonable steps to verify the identity of the [transacting party]. Updated: The Certifier has taken reasonable steps to verify the identity of the [transacting party] or his, her or its administrator or attorney.   These updated certifications apply to documents that are signed after the release of R13.0.0. For documents that have already been signed prior to this release, they’ll continue to use the old certification statements.   Subscribers are required to comply with the MPR made by the Registrar. By signing the documents, the Subscriber certifies that they comply with their obligations, as stated in the MPR.   (Referencing PEXA LS3-4426) Additional Stamp Duty check on the morning of settlement (NSW) For all transactions that are settling on that day, PEXA will run an additional stamp duty check on the morning of settlement.  This doesn’t impact any stamp duty check that is already scheduled to run (for example, 2 days prior or 1 hour prior to settlement). This allows PEXA to pick up any last-minute changes to the duty amount on the day of settlement, and also allows members additional time to make any amendments if necessary.   (Referencing PEXA LS1-7082) Residual documents batch 2 (SA & NSW) PEXA will release the second batch of Residual Documents for SA and NSW.   NSW As part of PEXA’s Release 13, scheduled for go-live on Monday 9 November 2020, 24 new Residual Documents will be released – which can be created and lodged in PEXA. Overview A Priority Notice may be lodged in VIC, NSW and QLD to protect the interest of either an Incoming Proprietor or Incoming Mortgagee in either a PEXA or paper transaction and assist with fraud prevention. A Priority Notice reserves priority on a title in real time and will allow only dealings that have been specified in the lodged Priority Notice to be registered. If a title search is completed, the Priority Notice will alert that an imminent transaction has been reserved. Some dealings may continue to be lodged with a Priority Notice in place, ensure to check the legislation in your jurisdiction: Real Property Act 1990 (NSW) Transfer of Land ACT 1958 (VIC) Land Act 1994 (QLD)   When lodged, the Priority Notice will be applied to the title for 60 days and may be extended by an extra 30 days, therefore protecting the interest in the property for up to 90 days. A Priority Notice will be lifted off a title at either: The expiration date, Where a Withdrawal of Priority Notice is lodged When the transaction as stipulated in the Priority Notice has been lodged. It is important to note that only the party who has lodged the Priority Notice will have authority to extend or withdraw the Priority Notice. Extending or withdrawing a Priority Notice can only be performed from the same Workspace the Priority was lodged in.   Who can lodge? A Priority Notice may be lodged in the roles of: Applicant: Used by any party type to register a Standalone Priority Notice for a dealing that will be completed in paper. Can be extended or withdrawn. Incoming Proprietor: Used by a Purchaser/Buyer to register a Priority Notice for a dealing that will be completed in PEXA. Can only be extended or withdrawn prior to execution of settlement date and time in the Workspace. Cannot be used to lodge a Standalone Priority Notice. The Workspace must have a Settlement Date and Time and be used to lodge a PEXA Transfer. Incoming Mortgagee: Used by a Mortgagee to register a Priority Notice for a dealing that will be completed in PEXA. The Workspace must have a Financial Settlement Date and Time. Can only be extended or withdrawn prior to execution of settlement date and time in the Workspace. Where a Priority Notice is prepared in the role of Incoming Proprietor or Incoming Mortgagee, PEXA will use the information that has been returned from the Land Registry as well as data from the Participant and Document screen to pre-populate information into the Priority Notice. The Priority Notice can be viewed by all participants in the Workspace. Extension of Priority Notice and Withdrawal of Priority Notice documents are excluded from View by all other Participants.   If..... The Priority Notice will pre-populate with.... For Workspaces created in the role of Applicant, the Priority Notice document will open automatically. For all other roles, select Priority Notice. Confirm the Applicant’s details are correct. From the Documents to be Lodged section: Select Add Document to add instruments that will be lodged as part of the imminent transaction. For Priority Notice created in the role of Incoming Proprietor or Incoming Mortgagee, confirm the documents that have automatically displayed are correct, and select Add Documents to add any further instruments. Tip: Ensure the order of lodgement is correct by selecting the arrows from the Sort Order column or drag and drop the documents into the correct order of lodgement. Select Save. Tip: Ensure to sign and submit the Priority Notice for Lodgement.   Extend a Priority Notice Extension of Priority Notice can occur any time prior to the expiration date of the Priority Notice (within the 60 days). Extension of Priority notice can only be completed via the Workspace where the Priority Notice was created and only by the Participant who created the Priority Notice. Where a Priority Notice has been lodged in a Workspace with other documents, an Extension of Priority Notice can only be lodged where the Workspace Settlement has not executed. Locate and enter the Priority Notice Workspace using either: Search functionality Active Dashboard (where lodged with other PEXA documents) Completed Dashboard (where lodged in the role of Applicant) Proceed to the Documents screen, select Action Cog > Extend Priority Notice next to the Priority Notice. The Extension of Priority Notice is automatically created. This will extend the Priority notice validation period by 30 days. Tip: Ensure to sign and submit the Extension of Priority Notice for lodgement. Withdraw a Priority Notice Withdrawal of Priority Notice can occur any time prior to the expiration date of the Priority Notice (within the 60 days). Withdrawal of Priority Notice can only be completed via the Workspace where the Priority Notice was created and only by the participant who created the Priority Notice. Where a Priority Notice has been lodged in a Workspace with other documents, a Withdrawal of Priority Notice can only be lodged where the Workspace Settlement has not executed. Tip: Ensure to sign and submit the Withdrawal of Priority Notice for lodgement.   View and print Priority Notice / Extension / Withdrawal Select the View button or Action Cog and View for either the Priority Notice, Extension, or Withdrawal, to view the rendered document. Overview The Enhanced Settlement Summary (ESS) has been redesigned to reduce friction so that you can experience a simpler, more streamlined way to completing the financial settlement schedule. As part of the redesign, you’ll notice a revamped interface that includes new features and panels. We have also introduced some calculations enabling practitioners and financial institutions to easily enter funds and complete the financial settlement schedule with more accuracy and less dependency. We have also streamlined some tasks to reduce manual data entry. In this article, we’ve added a new ESS workflow that provides guidance on when financial tasks should be completed, and by which Workspace participant. Please note, the timeframe in this ESS workflow should be used as a guide as it may be impacted by other factors.     ESS workflow       Steps   General ESS workflow Five days from settlement Accept the proposed settlement date and time Enter & agree on the Balance due to Vendor amount Assign shortfall responsibility Enter loan proceeds Confirm accounts Three days from settlement Assign Vendor surplus responsibilities Enter line items Complete purchaser funds One day from settlement Enter purchaser shortfall amount Enter final loan payout figure Complete vendor funds Day of settlement Enter vendor surplus funds Check funds are balanced Sign Financial Settlement Schedule   1. Accept the proposed settlement date and time Role: All All parties are required to accept the settlement date and time. On the Settlement Summary tab, click Accept Settlement Time. The settlement status changes from Pending to Accepted.   2. Enter the Balance due to Vendor amount Role: Proprietor on Title and Incoming Proprietor The Balance due to Vendor* is an agreed amount (between the Proprietor on Title and Incoming Proprietor) that the vendor will receive from the purchaser. This is calculated by purchase price, minus deposit paid, plus/minus net adjustments. On the Vendor Funds panel, one proprietor (either the Proprietor on Title and Incoming Proprietor) clicks Add. The Balance due to Vendor section is highlighted in yellow to indicate that you can edit or update this section. Type in a Balance due to Vendor amount then click Save. This Balance due to Vendor status is automatically set to Pending Others until it is confirmed by the responding participant. After the Balance due to Vendor amount has been entered by a participant, the responding participant can either agree to or edit this amount: To agree to this amount, click Confirm on the Balance due to Vendor amount confirmation dialog (if settlement is within 5 days). To edit this amount, click Edit and enter another amount. This will prompt the first participant to review the updated amount and the Balance due to Vendor status is set to Pending Others until confirmed by the first participant.   3. Assign shortfall responsibility Role: Incoming Mortgagee The Incoming Mortgagee specifies who holds an authority to debit the Customer’s account for Purchaser’s Equity (shortfall). On the Transfer Indicators panel, specify who holds client authority: Yes: The Incoming Mortgagee holds client authority. No: The Incoming Mortgagee does not hold client authority. Optionally enter the last four-digits of the account that the shortfall will be drawn from.   4. Enter loan proceeds Role: Incoming Mortgagee Enter the loan proceeds in the Sources view of the Financial Settlement Schedule after the loan documents have been received.   5. Confirm accounts Role: Incoming Mortgagee and Mortgagee on Title The Financial Institutions participants are required to confirm the shortfall and surplus accounts outside of PEXA: The Incoming Mortgagees confirms the shortfall account. For Mortgagees on Title confirms the surplus account.   6. Assign Vendor surplus responsibilities Role: Proprietor on Title or Mortgagee on Title On the Transfer Indicators panel, click Assign to me to assign the responsibility for directing the vendor surplus to yourself.   7. Enter line items Role: Proprietor on Title and Incoming Mortgagee To enter payment destination line items: Select the Destinations or Payments and Adjustments tab. Click Add Destination. Add destination line items or add adjustments. To enter source line items: Select the Sources tab. Click Add Source. Add source line items.   8. Complete purchaser funds Role: Incoming Proprietor Complete the purchaser funds to determine the Purchaser Funds Required to Settle amount, which is based on the agreed Balance Due to Vendor amount + Purchaser Payment Directions amount.  Depending on who holds client authority for shortfall, the Incoming Proprietor completes the purchaser line items: Where the Incoming Mortgagee holds client authority for shortfall On the Purchaser Funds panel, click Ready for shortfall to complete the purchaser line items. This notifies the Incoming Mortgagee that the Incoming Proprietor has entered their financial line items and the Incoming Mortgagee may now add or update the shortfall amount in their source line items (step 10). Where the Incoming Mortgagee does not hold client authority for shortfall On the Purchaser Line Items panel, click Mark as complete to indicate you have completed the purchaser line items. On the Purchaser Funds panel, click Add as shortfall or Update shortfall to add/edit the shortfall amount. Upon clicking, you’ll be taken to the Add/Edit Source line item entry where you can review or edit the pre-populated shortfall amount. When the purchaser’s line items have been completed, the Purchaser funds required to settle will be the amount required by the Incoming Mortgagee.   9. Enter purchaser shortfall amount Role: Incoming Mortgagee or Incoming Proprietor Where the Incoming Mortgagee holds client authority for shortfall Where the Incoming Mortgagee is providing the purchaser’s equity (shortfall), and the Incoming Proprietor has clicked Ready for shortfall, the Incoming Mortgagee may go ahead to confirm the proceeds: On the Purchaser Funds panel, click Add as shortfall or Update shortfall to add/edit the shortfall amount. Upon clicking, they’ll be taken to the Add/Edit Source line item entry where they can review or edit the pre-populated shortfall amount. Where the Incoming Mortgagee does not hold client authority for shortfall On the Purchaser Funds panel, the Incoming Proprietor clicks Add as shortfall or Update shortfall to add/edit the shortfall amount. Upon clicking, you’ll be taken to the Add/Edit Source line item entry where you can review or edit the pre-populated shortfall amount.   10. Enter final loan payout figure Role: Mortgagee on Title Enter the final loan payout figure in the Destinations view of the Financial Settlement Schedule.   11. Complete vendor funds Role: Proprietor on Title Complete the vendor line items where the Mortgagee on Title is directing the surplus funds; otherwise skip to the next step. On the Vendor Line Items panel, click Ready for surplus. This indicates to the Mortgagee on Title that the Proprietor on Title has entered their financial line items.   12. Enter vendor surplus funds Role: Proprietor on Title or Mortgagee on Title The participant responsible for directing the surplus funds completes this step. On the Vendor Funds panel, click Add as vendor funds or Update vendor funds. Upon clicking, they’ll be taken to the Add/Edit Destination line item entry where they can review or edit the pre-populated surplus amount.   13. Check funds are balanced Role: Proprietor on Title and Incoming Proprietor. On the Settlement Summary tab, check that the Total Sources and Total Payment Direction amounts are balanced, and the funds balance bar is green.   14. Sign Financial Settlement Schedule Role: All On the Settlement Summary screen, select Sign from the Actions cog. Sales data integration for Transfer and NoA documents (VIC) PEXA has enhanced the Bulk Upload Workspaces tool to allow more data integration between PEXA Projects and PEXA Exchange for VIC Workspaces. This streamlined process improves the workflow and saves you time. From this release, sales data (such as Gross consideration amount) that is uploaded via the Bulk Upload Workspaces tool will now auto-populate on the VIC Transfer and Notice of Acquisition documents. New filter–Transfer document status We have updated the filtering logic for the Transfer document status filter on the Get to Ready dashboard. This change is applicable to NSW Workspaces where a Consent document exists. Either participant will have the ability to enter this amount into the PEXA Workspace. Providing the Balance due to Vendor into the Workspace provides PEXA the ability to: Clearly indicate to all participants the amount of funds available for the Vendor to disburse, and Use this figure to drive the Purchaser Funds Required to Settlement calculation (previously the Total Funds Required to Settle).   * Note: In this release notes, we’re referencing this amount as the ‘Balance due to Vendor’; however, the terminology differs in each jurisdiction: NSW—Amount due on Settlement ACT—Amount due to Seller VIC—Balance due to Vendor QLD—Balance due to Vendor SA—Balance due to Vendor by Purchaser WA—Balance due to effect Settlement System calculations As part of the Enhanced Settlement Summary, PEXA will calculate the vendor’s surplus, purchaser’s shortfall, and purchaser funds required to settle based on the line items entered by all participants and the Balance due to Vendor. These calculated figures result in a more streamlined experience by providing a consistent way of calculating the vendor’s surplus funds and the funds required to settle by the purchaser. Vendor’s funds: Previously, the Mortgagee on Title and Proprietor on Title would initiate a Workspace Conversation where the outgoing Financial Institution was to collect all funds from settlement to confirm the amount to be disbursed. In the Enhanced Settlement Summary, the surplus amount is calculated by the system and agreed by the Practitioner, and the Mortgagee on Title is prompted to add the surplus amount into the Financial Settlement Schedule. With the Enhanced Settlement Summary, the Unallocated Funds amount represents the remaining funds available to be disbursed to the Vendor. When the Proprietor on Title has completed entry of the Vendor’s line items, the Unallocated Funds calculation provides the Mortgagee on Title a clear indication of the remaining funds available. Once the Mortgagee on Title creates the loan payout(s) required, then the Unallocated Funds will be the amount required to be disbursed to the Vendor’s nominated account. Purchaser funds required to settle: Previously, the Incoming Proprietor had to manually calculate the Total Funds Required to Settle and enter this value into the PEXA Workspace. With the Enhanced Settlement Summary, the Purchaser Funds Required to Settle (previously Total Funds Required to Settle) amount is now calculated by the system as the sum of the Balance Due to Vendor amount + Purchaser Payment Directions amount. When the Incoming Proprietor has completed entry of the Purchaser’s line items, the Purchaser funds required to settle will be the amount required by the Incoming Mortgagee. Note: The system calculations are only available where there is a single Transfer, no more than one Discharge, and/or no more than one Mortgage in the Lodgement Case. In scenarios where there is more than one Transfer, Discharge, or Mortgage document within the same Workspace, PEXA is unable to determine the nature of the transaction. Therefore, the Incoming Proprietor is required to manually calculate and enter the Total Funds Required to Settlement amount into the Workspace.   Other improvements Signing Status The improved Settlement Signing Status panel now clearly shows the signing status of each participant in the Workspace.​ Adding the signing status provides more meaningful context where dual signatures are required (visible only to the Subscriber who has dual signing enabled). ​ Completing line items Participants in the role of Incoming Proprietor are required to click the Ready for shortfall button (where the Incoming Mortgagee is handling shortfall) after they have completed entering their line items. This notifies the Incoming Mortgagee via a task and an on-screen button that they may now enter or update the shortfall amount. Participants in the role of Proprietor on Title are required to click the Ready for surplus button (where the Mortgagee on Title is handling surplus) after they have completed entering their line items. This notifies the Mortgagee on Title via a task and an on-screen button that they may now enter or update the surplus amount.   Entering shortfall amount If the Incoming Proprietor is responsible for providing shortfall funds, a button will appear on the Purchaser Funds panel, enabling them to either: Add as shortfall where the Purchaser’s Equity line item has not been created, or Update shortfall where an existing Purchaser’s Equity line item already exists. When they click this button, they’ll be directed to the Add/Edit source line item entry screen with the shortfall amount pre-populated based on the new calculations built by PEXA. Land Title address Lookup (ALL) Land title address lookup service has now been extended to all jurisdictions. With address lookup, the address field automatically populates and refines as you type, allowing you to quickly and efficiently search for a valid address without having to type in the full address.   How it works To use address lookup functionality, navigate to the Land Titles  screen, then click the  Add Address  button; the new and improved address entry screen displays. Start typing and a list of suggested addresses will appear that you can select from via the drop-down. Continue typing the address to further refine the search results. If an address can’t be found using the lookup, then you can enter the address manually by clicking the link beneath the results.   Example shown for a VIC address: Capturing feedback from our Financial Institution members Your feedback lies at the heart of everything we do at PEXA – it’s critical that we’re constantly hearing from our members on what we’re doing well, and where we can improve.
