Hi Community, This message is for Subscribers who sign in PEXA using a Mac computer. Apple has released its newest Mac operating system, Catalina and while macOS Catalina is the most up-to-date software, the changes implemented by Apple affect how this operating system interacts with smartcards or USB tokens containing digital certificates. PEXA together with its vendor have performed several tests which identified that those who sign with a Mac computer will not be able to do so if they upgrade to macOS Catalina. To ensure that your PEXA experience is not impacted, we suggest that you defer updating to the macOS Catalina. Signing on the previous macOS versions such as ‘Mojave' continues to work and the operating system will remain under support by Apple for the foreseeable future. Note that it remains important to apply any issued security patches for your version of MacOS. Alternatively, if you have access to a Windows computer you can use it to sign in PEXA as well. See https://www.pexa.com.au/digicert for instructions to install the necessary software. Below, please find a list of frequently asked questions on the matter.  Can’t find the information you’re looking for? Reply to this post and we’ll get back to you as soon as possible.   WIll deferring put me at risk of not adhering to pexa's subscriber security policy MacOS Mojave is still supported by Apple, and using it will not breach any system requirements. Deferring upgrade to Catalina does not restrict the updating of security patches. It is important that your security patches are up to date and that you are using supported operating software. I have updated my macOS to Catalina, and I’m now unable to sign, what should I do now? You may use an alternative computer (Windows or one that is not updated to macOS Catalina) to sign. Note that you may need to install the digital certificate software, found here. As an option, you may also check with Apple if you are able to downgrade to the prior macOS Mojave. Your ability to downgrade, could be subject to having backed up your system prior to the upgrade, and unfortunately, we are not able to provide you any guidance on this. We recommend contacting Apple or your IT support on this matter. Can I still access PEXA if I’ve updated to macOS Catalina? Yes, you will still be able to access PEXA but you will not be able to sign. Is PEXA the only application affected by this? No, the changes Apple has implemented with the macOS Catalina impacts the way it reads signing tokens (otherwise referred to as smart cards) in general and impacts other applications that use digital certificates. When will there be a resolution to this? PEXA is currently working on a resolution with our supplier, and we are not able to confirm if or when a resolution will be found. As I am now not able to sign, can I give my digital certificate and PIN to my colleague? No, according to the e-Conveyancing legal framework, MPR 7.1, sharing of digital certificates is prohibited. A digital certificate is equivalent to a wet signature and using someone else’s is akin to forging a signature.   ... View more

In a flip of the script, Shane Jacob, AIC National President, has joined us on the 5 in 5 set to ask Marcus industry’s pressing questions.   Does PEXA plan to become a conveyancing firm?; What is PEXA doing to help the banks streamline their settlement processes?; and more. Find out in this month’s 5 in 5.       What is the digital conveyancing timeline for TAS, NT and ACT? PEXA was created to fulfil the Council of Australian Governments’ (COAG) initiative to deliver a single, national e-Conveyancing solution to the Australian property industry and that’s exactly what we plan to do. PEXA is in active discussions with Tasmania, the Northern Territory and the ACT to bring e-Conveyancing to life in those jurisdictions and hopes to be in a position to communicate timelines to industry over the coming 12 months. Pleasingly, the legislation which enables e-Conveyancing has already passed in Tasmania and the Northern Territory. Does PEXA recommend certain security procedures in the fight against fraud? Beyond the Subscriber Security Policy which provides security requirements for our members, PEXA highly recommends the use of new app PEXA Key for the secure exchange of source account details and vendor bank details, removing the vulnerabilities associated with email. Further, PEXA has a dedicated Security page on the e-Conveyancing Community for PEXA members to stay up-to-date with PEXA’s security announcements, to raise security concerns and learn business tips to stay secure online. How has the recent 1 July compliance date in NSW been received? Prior to 1 July, 85% of all possible dealings in NSW were being lodged electronically which is testament to that market in its early adoption of e-Conveyancing. As a result, the 1 July compliance date passed seamlessly.   One of the most significant metrics we measure when understanding how the industry is embracing e-Conveyancing is our Net Promoter Score (NPS)*.   NPS measures the willingness of members to recommend PEXA to others and PEXA captures this feedback directly from its members via the in-platform feedback tool. As of August, the NSP for NSW sits at an impressive 62 which is a 33% increase on March 2019. *NPS is measured between -100 and +100. A score of 50 is considered “excellent” and 70 is considered “world class”. Apple’s most recent Net Promoter Score is 47. PEXA has limited transactions we can conduct online in Western Australia. What work are you doing with Landgate in the view of creating a shorter timeframe to transact fully online? ? PEXA is actively working with Landgate on this matter and are ready to assist Western Australia in increasing scope. At present, Landgate has a number of technical priorities to assist in the introduction of competition in the ELN market. Once that work is complete, it is likely focus will return to broadening out the volume of transactions that can be completed online. As the PEXA platform continues to evolve, how does PEXA recommend that we continue to up-skill our business’ and staff? PEAK Bodies continue to be central hub for PEXA members to stay up-to-date and trained on industry and e-Conveyancing changes. Help articles, free webinars and upcoming changes to the platform can also be found in one central location, on the e-Conveyancing Community. PEXA’s Support Centre is also available to answer any of your PEXA platform questions. Previous episodes 2019 Episode One: Nick Karolidis and Marcus discuss common themes raised through PEXA’s in-platform feedback tool. Hi Community,   As part of PEXA’s Release 10.1.0, users in the role of IP and POT will now have the ability to join an existing Workspace. Below are frequently asked questions about this new functionality.   Can’t find the information you’re looking for? Reply to this post and we’ll get back to you as soon as possible.   Who can join a Workspace? Only an Incoming Proprietor or a Proprietor on Title can join a Workspace. This functionality is not available for any other roles, for example, Incoming Caveators, Incoming Mortgagees, Mortgagees on Title. What steps does a joining Subscriber need to go through before accessing the Workspace? If a Workspace has already been opened, and the Subscriber is in the role of Incoming Proprietor or Proprietor on Title, they will see the Existing Workspace pop up screen (formally the Duplicate Land Title pop up screen) and now have the option to join. The Subscriber will then have to tick a checkbox to confirm that they are authorised to represent the said party. If an invitation has already been sent to the Subscriber, they will only see a ‘View Invitation’ option on the Existing Workspace pop up screen. What happens when a Subscriber joins a Workspace? Existing participants in the Workspace will be alerted with a banner across the Workspace Summary screen with details of the joining party. They will also receive an email notification. What happens if a Subscriber joins the wrong Workspace? The Subscriber will be responsible for removing themselves from the Workspace. The existing Subscribers in the Workspace may request that the party who erroneously joined to remove themselves. Failing which, as they do today, existing Subscribers in the Workspace will need to escalate the matter to PEXA Support. What happens when a party remains in the Workspace despite requests to leave? Once the matter is escalated to PEXA Support, PEXA will then request the party remove themselves from the Workspace, or face the possibility of suspension. Note that the Participation Agreement has been updated to include the obligation for Subscribers to join Workspaces only if they have the authorisation to represent a said party to the transaction. Persistent failure to comply could be met with suspension. Can Subscribers remove a Subscriber who has incorrectly joined the Workspace? No. The Subscriber that has erroneously joined the Workspace will be responsible for removing themselves. What is the Participation Agreement amendment and when did PEXA communicate the change? The following changes were incorporated in the Participation Agreement in May. The revised agreement was shared with all Subscribers via the May Clicks and Mortar newsletter (and direct by email for those who have unsubscribed to the newsletter) Inclusion below: 4.1 (f): to only enter an Electronic Workspace where the Subscriber is authorised to represent party to a Conveyancing Transaction involving the Land Title Reference, the subject of the Electronic Workspace; What can a Subscriber see when they join the Workspace? Subscribers will be able to see title details, which is available in a title search. As per today, when Subscribers join a Workspace upon acceptance of an invitation, they will be able to see any information, if already entered that a Subscriber in that role would be able to view.   ... Dear Community,   Please note that this does not affect all PEXA members. If it does not affect you, please ignore this message.   PEXA has been advised that certain Antivirus software is flagging the PEXA signing application for some PEXA members.   If you happen to be affected, you will notice a red banner on the signing page informing you “PEXA Digital Signing software is required to sign documents using (your browser). Please click here to install the latest version.”   If you are a Financial Institution, please contact your tech support for assistance.   Please ensure that you are using the most recent version of the Digital Certificate software, accessible from the link above. For the installation process of the PEXA Signing Application, please refer to Step 3 for Chrome or Step 2 for Internet Explorer. Should you be already running the most recent version, you will be given the option to repair or remove your current software. If you are not running the most recent version, you will be prompted to update the software. In order to update your software, you may require administrator rights.   Note that if you are unable to effect this change yourself, you may need to contact your internal IT team or external IT consultant.   If you still cannot digitally sign after the software update, you may be required to whitelist the PEXA Signing Application.   Please contact PEXA Support directly, if you require further assistance. ... When opening a PEXA Workspace, an important step is to verify that the information returned from the Land Registry is accurate. This information will be visible on the Land Title screen.   The good news is, that post opening the Workspace, an automated Title Activity Check (TAC) on the land title will be performed periodically , made possible by the digital integration between PEXA and the respective Land Registry. You will be notified should there be any activity identified on the title.   Sometimes, when activity is detected, the information displayed on the land title screen may require updating. A common example is when the TAC indicates that a survivorship or transmission has been lodged and there has been a change in proprietorship. Note that in this particular situation, the Land Title information requires updating in order for lodgement verification to be successful, and for settlement to proceed. Please note that an Information Re-supply is only required when the change in title particulars will prevent lodgement. So, before you request an Information Re-supply, check your TAC to help you decide if you need one.   Should you request an Information Re-supply, a fee of $5.50* will be debited from your fee paying account as per the Pricing Schedule.   *fees are waived until 28 February 2019 ... Hi Community! The new PEXA Marketplace is alive and well, offering members in NSW, the ability to purchase a title search through one of our partners – either Equifax or CITEC.   The Marketplace will shortly expand to include additional title search providers as PEXA partners with existing market participants to provide you choice, transparency and efficiency in completing a property transaction, ultimately allowing you to reduce your client’s disbursements.   Login to Marketplace through PEXA Plus using your PEXA login details.   The Marketplace is now live in NSW and will roll out in VIC, WA, SA and Queensland in 2019.   Susanne Mosely, Managing Director, Hunter Legal & Conveyancing talks about her experience in using Marketplace.   How long have you been using Marketplace? I started using Marketplace when PEXA began the pilot programme last year. What peaked your interest to participate in the pilot? We love working with PEXA and are really interested in their growth. We have seen how going digital has benefited our business and clients, through increased efficiencies and better pricing. We are definitely 100% supporters of e-Conveyancing and want to use PEXA more. Tell us about your experience in using Marketplace Marketplace is so easy and convenient to use. We love the fact that there is transparency in price and that it is competitive as well. It was great to be a part of the pilot programme, to have the opportunity to shape a product that meets both our and our client’s needs. The PEXA team have been very open to the feedback we provided – and have always managed to find a solution. We have been very impressed at how quickly the team troubleshoots and makes changes for smooth, faultless usage. Have you seen any benefits to using Marketplace in your organisation? Definitely. Pricing is far cheaper than the alternatives we’ve been using. This really helps as it reduces our disbursements for our clients. Our clients are so much happier when we help them save. Do you think it’s important to have price transparency in the market? Why? Definitely. It’s important because our quotes can be more accurate and are able to reduce any surprise costs at the end. What would you like to see in the future? It would be great if we could do everything digitally, from stamping to settlements. We, at Hunter Legal & Conveyancing, would love to utilise PEXA for all aspects of a conveyancing matter. Have a question? Hi Community,   Below, please find the guidelines on responsible use of the conversational tool.   Responsible use of the Conversation Tool   PEXA provides the Conversation Tool for the benefit of all participants in the Workspace and PEXA encourages the appropriate use of the Conversation Tool.   Subscribers should take care to ensure that information entered via the Conversation Tool is only shared with appropriate participants in the Workspace.   PEXA Members are reminded that conversations in the Workspace form part of the permanent record of the electronic transaction. PEXA expects that Workspace participants conduct themselves professionally and with appropriate courtesy. Use of threatening, abusive, offensive or profane language is not appropriate. PEXA reserves the right to refer inappropriate or unprofessional use of the Conversation Tool or other conduct to the relevant members’ industry regulator.   Regards, Julie ... View more
