As we head into the busy period for settlements in the lead up to Christmas and the holiday season, time is more precious than ever, as is protecting you and your clients from cyber crime.  Email fraud, phishing attempts, scams and reported losses have increased since the COVID situation came into effect, and it is critical that firms are doing all they can to mitigate this risk.    The common misconception is that fraudsters can only manipulate the body of your email, where they can in fact tamper with attachments (including editing PDFs), send completely new emails whilst posing as a client or practitioner.  I have unfortunately seen this occur on a number of occasions with clients I work closely with, and whilst verifying bank account information is important, it can be missed by even the most experienced operators.  We are all human, after all.  It only takes one incident, which could cause a significant impact and distress to all parties involved.   Front and centre, PEXA Key should be used to eliminate the need to ever use email to transmit bank account information - this is where the risk is.  Having to re-key bank account details also presents the risk of data-entry error.  Eliminating risk is one thing, but leading up to a hectic time of the year, using PEXA Key will also save you valuable time by removing the need to draft and send emails with bank account information, then potentially going back and forth chasing the client to verify account information.   We have the 'Secure Communication Guarantee' which will provide you and your clients with the peace of mind and confidence that PEXA Key is safe.  Recently, PEXA Key was awarded the 'Best Service Innovation 2020' by the Australian Financial Review.  We are very proud of this!   A quick reference help card is attached to this article, and our friendly Support Team or your assigned PEXA specialist can help if you need any assistance.   https://www.pexa.com.au/pexa-key ... Digital Certificate Shell Replacement

Lately, there have been a few members who have been in contact regarding cracked or loose digital certificates.  This can sometimes cause intermittent signing issues but members will be happy to hear that there is an easy solution for this.    A new shell can be ordered via our Support Team, who can be contacted on 1300 084 515.  The cost of replacement is $10 after a PEXA subsidy, which is direct debited from your general/office account.  The new shell will be sent in the post.   Upon receiving the new shell, it will be necessary to remove your digital signing SIM card from your old shell and insert it into your new shell/USB.  In the interim, some tape can be used to tightly hold the casing together which should solve the problem until your new shell arrives in the mail.   If you need assistance, feel free to contact your PEXA Specialist or our friendly Support Team. ... There is now a secure way to transmit bank account details that offers a safer alternative to communication channels such as email.  Emails have the risk of being intercepted by a third party and funds are then subsequently directed to the incorrect account.  It is an issue that unfortunately will not go away anytime soon and to eliminate the risk to firms and their clients, there has been investment made to develop PEXA Key.    PEXA Key allows practitioners and conveyancers to send trust or source account details to clients, and/or request client bank account details for surplus funds via the PEXA workspace, removing the need to use emails for this task.  When account details are received from the client using PEXA Key, they will populate directly into the workspace without the practitioner needing to re-key this information.  This removes the risk of data entry error by the practitioner.   PEXA Key also allows clients to track their settlement and have access to basic information such as date, time, address, your firm's details and "what to expect" articles that explains frequently asked questions about the settlement process.  Clients DO NOT have access to the workspace or see any documents, figures in the financial settlement schedule, conversations etc.  This is a common misunderstanding that has been raised by firms, so it is important to understand that PEXA Key will only provide limited information to buyers and sellers.   If there is no need to communicate bank account information for a matter, clients can still be invited to use PEXA Key to see when their property is settling, once it starts to settle and when it has completed.  So, this means all clients can benefit from using PEXA Key irrespective of whether bank account details need to be exchanged.  For those buyers and sellers who are fans of social media, there is also an option to post the "settlement completed" notification onto social platforms to share their excitement with friends and family.   Clients will download the PEXA Key app exclusively from the App Store or Google Play, whilst firms will manage everything from their workspace.  To reiterate, firms DO NOT need to download the app, everything is managed from the existing workspace via a few buttons.  Buyers and sellers can contact PEXA Support should they require assistance with downloading and activating the app.   To see screenshots of what clients will see on the PEXA Key app, access further information about using PEXA Key or to download the help card, visit https://community.pexa.com.au/t5/Help-Centre/Introducing-PEXA-Key/ba-p/17263   Best thing is PEXA Key is free to download and activate, and there is a "Secure Communication Guarantee".  Details can be found at https://www.pexa.com.au/pexa-key-secure-communication-guarantee   PEXA Key is essential in the fight against email fraud! ... As of June 17th, 2019, it is no longer required to have your spreadsheet converted to a csv file by a team member at PEXA.  This mapping process is now built into PEXA Projects, so you can upload your file and create the workspaces or upload child titles without assistance from your PEXA Specialist.   To download a sample template of what data is required for your upload, first create the Project in PEXA Projects and then go to "Manage Workspaces" in your dashboard and click on "Bulk Upload Workspaces".  It is here that you will find a link to "download a sample template".  This template also has a "help information" tab which outlines the requirements/restrictions in the spreadsheet to ensure your upload is successful.   Important tips: You must label the tab that contains the data as “Workspaces” Purchaser names must be separated by a comma (,).  It will no longer work with '&' or ‘and’ In your spreadsheet, only have the columns that are relevant, that is, lot, reference, purchasers' reps, purchaser names, consideration (no cents), child title Use the PEXA Qualifier Tool to wash all the conveyancer/solicitor names to ensure you are using their registered name in PEXA - your PEXA Specialist can provide you with the link to access this tool Always ensure you create your vendor as a frequently represented party in PEXA Administration Tools prior to uploading child titles - this allows your party representation to be automated in 'participants' Full release notes can be found at https://community.pexa.com.au/t5/PEXA-Product-Releases/PEXA-Projects-PoT-Release-6-0-0-17-June-2019/ba-p/15970   For further information, please contact the Developer Specialist in your jurisdiction or your PEXA Direct Specialist or PEXA Partner. ... Maria at Lawsons Conveyancing recently completed her first electronic settlement.  A very exciting and proud moment for Maria who has been nervous in the past but has now jumped straight into it.  The workspace moved to "settled" after 10 minutes, with disbursements of funds completed after only 14 minutes!  This is definitely the way to go rather than driving into the city, parking, lining up, waiting for your name to be called and potentially experiencing issues that come with settling in paper.   Well done Maria!   Maria amazed that electronic settlement was completed in 14 minutes ... Last week, two more of my clients reached the exciting milestone of graduating from the PEXA Direct Program.  Vichomes Conveyancing and Engage Conveyancing (Devendish) have quickly become PEXA experts, regularly transacting on PEXA whenever they can and encouraging their peers to get onboard.   Our PEXA Direct Program is helping firms across the country transition to electronic settlements and we work closely with practitioners and conveyancers to support them through what may be quite daunting at first.  I have enjoyed watching clients move away from paper settlements and embrace technology to save time and add value to their clients.  Gone are the days where you need to rush to busy settlement rooms - which have been likened to fish markets!   If you have not already joined the PEXA Direct Program, get in touch with your PEXA Direct Specialist to start transacting with the large number of firms already apart of the network.    Mai and Tram make up the busy team at Vichomes Conveyancing. Another Industry Update session was held last week, this time it was in Traralgon, Victoria.   This gave the local practitioners and conveyancers in the Gippsland area to network and engage with their peers, sharing their PEXA experience and journey so far.     The event was a great success and allowed PEXA to also provide assistance to firms and companies who were keen to complete the registration process and become PEXA subscribers.   Thank you to everyone who attended and please feel free to share your feedback and what else you would like to see incorporated into these sessions to add more value. ...
