PEXA is pleased to present PEXA Major Release 16, scheduled for business go live 07 May 2022.   No outage is expected on the weekend of this release.   Highlights Auto balance of sources for Refinances (ALL) Ready to Book - pilot for Refinance workspaces extended to Panel Members and Panel Masters (Pilot) Automatically send a conversation from the Incoming Mortgagee to the Incoming Proprietor - (Pilot) Remove mobile and email validation messages on Party and Source Screens - (ALL) Preferred names added to your profile (ALL) Enhanced filter when linking workspaces (ALL) Update History screen when Settlement date and time is accepted (ALL) New Attachment Type - Letter - WA New Justification – No longer a minor – WA New Attachment Type – Statutory Declaration – QLD Caveator on Title & Loan Payouts - (ALL) Homes for Homes Enhancements - (ALL) GST Withholding Forms – History wording enhancements - (ALL) Removal of the 3pm (AEST) cut-off for Linked Settlements (ALL) Standalone Settlements, Linked Settlements and Linked Lodgements: Removal of 4pm Cut-Off (ALL)   Auto balance of sources for Refinances (ALL) Building on the existing Auto balance of sources already available for transfer transactions, the feature is being extended to be available for Refinances in Release 16.0.   Incoming Mortgagees (IM) can now use the auto-balance feature for a Loan Proceeds or Purchaser’s Equity line items. A Maximum Amount can be entered for the auto balancing line item and the IM can sign the Financial Settlement Summary. If amounts fluctuate in the workspace, the Auto balancing line item will automatically update. If the funds required remain below the maximum entered, the workspace will proceed to settle without the Incoming Mortgagee having to revisit the workspace. Workspaces would only need to be revisited by an IM using this feature on an exception basis when the Maximum Amount is not sufficient, and the MOT has signed their FSS. Numerous notifications,  on-screen prompts and a task  will inform the Incoming Mortgagee to “Review the auto balancing source amount” when  this exception scenario occurs, (Referencing PEXA AXL-2897) Ready to Book - pilot for Refinance workspaces extended to Panel Members and Panel Masters (Pilot) The Ready To Book feature is currently available through a selected pilot only. This pilot is now extended to Panel Members and Panel Masters as well.   The Ready To Book feature will be made available for Refinance Workspace (Roles of Mortgagee on Title and Incoming Mortgagee). As a participating Panel Member in the Ready To Book pilot, you can set up your Refinance Lead Time Preferences for a Panel Master, to allow some lead time prior to PEXA automatically booking in Settlement for your Refinance Workspace. These Refinance Lead Time Preferences are configurable for both Incoming Mortgagee and Mortgagee on Title roles and are on the Manage Frequently Represented Parties screen.   For information on how to alter your Refinance Lead Time Preferences settings and other Refinance - Ready To Book features, please see the following article: https://community.pexa.com.au/t5/Help-Centre/Ready-to-Book-Help-Centre/ba-p/24069 (Referencing PEXA EX1-18347) Automatically send a conversation from the Incoming Mortgagee to the Incoming Proprietor - (Pilot) A pilot will run to test a feature to automatically send a conversation from the Incoming Mortgagee to the Incoming Proprietor. Some banks currently manually send a conversation when they join a Workspace. This feature will look at automating this step to streamline the process.    The automated conversation outlines some actions and timelines that are required so that settlement completes on time. (Referencing PEXAFS-10000 ) Remove mobile and email validation messages on Party and Source Screens - (ALL) Some of our email and mobile validation messages on the Party screen and Sources tab have caused some confusion so we’ve decided to remove them. From R16.0.0 you will no longer see the green tick or warning icon after entering a mobile or email and we’ll only show you a message when these details can’t be verified.   Don’t worry, we are still validating in the background, but we’ll only tell you if there is a problem like in the example below.   (Referencing PEXA FS-10165) Preferred names added to your profile (ALL) We have added some additional fields to your Profile Settings screen. These include pronunciation of your first, middle or last name, your preferred name and pronoun. (Referencing PEXA FS-10031 ) Enhanced filter when linking workspaces (ALL) Improvements have been made to the filter on the ‘Link Financial Settlement’ screen to make it easier to locate the Workspace you want to link.   The new filter sits at the top of the screen and allows you to enter a Subscriber reference or Workspace ID.   (Referencing PEXA FS-9992 ) Update History screen when Settlement date and time is accepted (ALL) We have updated the History screen to record when a Workspace Participant accepts the Settlement date and time.   (Referencing PEXA FS-10135 ) New Attachment Type - Letter (WA) A new attachment type of Letter can now be attached to a Transfer in WA. This attachment type can be added in the role of Proprietor on Title or Incoming Proprietor. (Referencing PEXA LST-1040) New Justification – No longer a minor – WA In WA, where a Proprietor on Title was previously registered as a minor, a new justification reason of ‘No longer a minor’ can be used where the proprietor is now of age to transact.   (Referencing PEXA LST-1132 ) New Attachment Type – Statutory Declaration – QLD A new attachment type of Statutory Declaration can now be attached to a Transfer in QLD. This attachment type will allow Local Governments not transacting in a capacity to represent a purchaser in QLD.   (Referencing PEXA LST-1175)   Caveator on Title & Loan Payouts - (ALL) The Caveator on Title role now has the option of selecting the payment category of "Loan Payout" with Customer Account and Frequently Used Accounts both available dropdown destination account options.   (Referencing PEXA SETT-11922 ) Homes for Homes Enhancements - (ALL) When manually creating a destination line for Homes for Homes, the reference number field is the Payment Reference Number. However, when the destination line is saved, and we expand the destination tab in the FSS, the DLI shows as “Transaction Description”.   The first change is to update the wording from “Transaction Description” to “Payment Reference Number”. The second change is when the Homes for Homes caveat exists, and the line item is being created, the workspace will auto populate the “Transaction Description” field as the “Caveat Dealing Number” rather than the “Workspace Reference”. This will help ensure the correct reference is provided when creating the Homes for Homes destination.   (Referencing PEXA SETT-11542 ) GST Withholding Forms – History wording enhancements - (ALL) Based on member feedback, we’ve enhanced the messaging on the History page to clearly show which Subscriber and event caused the removal of a GST Withholding Form one and/or Form two. This also includes the removal of the corresponding auto-created destination line item (if populated).   Clearer messaging will be populated on the History page when any of the following events occur: Incoming Proprietor removes a party   An Incoming Proprietor or Proprietor on Title on the Workspace either:   Withdraws from Workspace Abandons the Workspace Removes their role (when in a dual role) (Referencing PEXA SETT-11957) Removal of the 3pm (AEST) cut-off for Linked Settlements (ALL) Linked Settlement Workspaces in a status of “Settlement Held” will no longer be cut-off at 3PM (AEST) when either an insufficient funds error or technical errors return during sourcing of funds.   This feature will be fully rolled out in June.   (Referencing PEXA SETT-9392) Standalone Settlements, Linked Settlements and Linked Lodgements: Removal of 4pm Cut-Off (ALL) Workspaces stuck in a status of either “Settling” or “Settlement Held” will no longer be cut-off at 4pm (AEST). The 4pm cut-off reduces the time workspaces have in which to settle on the day.    This change impacts all workspaces:   Standalone workspaces Linked Simultaneous Settlements Linked Lodgements   Where PEXA cannot establish communications with the relevant Land Registry, for example the QLD Land Registry system is closed for the day to process the lodgement request, PEXA will continue with Financial Settlement. In addition, we have updated the Add Address and Edit buttons by replacing the text buttons with icons and aligning the buttons next to the Address field.   (Referencing PEXA FS-8742) PEXA Key account details included in Vendor Surplus (ALL)   If you’re representing the Proprietor on Title and your client has provided account details via PEXA Key (i.e. PEXA Key request has acknowledged status on adjustments and payments screen) then we’ve streamlined the process and you can now use the ‘Add Vendor Surplus’ button on the enhanced settlement summary to create/update a vendor surplus line item instead of manually creating the line item in the Adjustments and Payments screen.   (Referencing PEXA AXL-2274) Displaying last 4 digits of vendor surplus account (ALL)   To allow Banks (Mortgagee on Title) and Practitioners representing the Proprietor on Title to quickly check the vendor surplus account details are correct, we are now displaying the "last four digits" of the Vendors Surplus account in the enhanced settlement summary when the auto calculation feature is active. The account details will display if the Mortgagee on Title is handling surplus and the category of "Customer Account" is being used for the Vendors Funds line item that is auto calculating.   (Referencing PEXA) Displaying your PEXA Subscriber ID (ALL)   Your Subscriber ID is required when completing some PEXA forms as well as when setting up duty for some jurisdictions. Your PEXA Subscriber ID can now viewed in either: Administrator Tools > Manage Subscriber Details page if you are a Subscriber Manager, or the Profile Settings page for all other user types.   (Referencing LS3- 6165) Settlemnet Email Notification Enhancement (ALL)   When preparing an email Notification for your Workspace, you must first select a template before entering your email text. This helps ensure your entry is not lost when trying to save the notification.   (Referencing LS3- 6169) Deleting User Roles (ALL)   We are now making it easier to delete user roles. Any role can be deleted, even if it is listed as a default role. One workspace role will always be required to be in the workspace, so ensure to add a new role before deleting a role that is no longer required.   (Referencing LS3-6172) Dealing Numbers on Document screen (ALL)   To assist with creating withdrawal documents in PEXA, the dealing number for the instrument you are withdrawing is displayed beside the Withdrawal document you have prepared on the Documents screen. This will assist you to easily identify and track which documents you have created without the need to ‘Edit’ the document.   (Referencing LS3-6178) Invitation enhancement – Client name visibility (ALL)   When you are invited to a Workspace, the party who has invited you will add your client name to the invitation.     From the Invitations screen the client name will now be available for you to see, making it easier for you to identify which transaction the invitation relates to. Click the arrow beside the ‘Sender’ name to expand the invitation request and locate the client name.       (Referencing LS3-6180) Add new Workspace Withdrawal Reason (ALL)   When withdrawing from a Workspace, a reason for withdrawing is required to be selected. We’ve added a reason type of ‘Matter no longer proceeding’ to make the reason clearer for all workspace participants.   (Referencing LS3-6184) Fixed positioning for Left navigation menu (ALL)   To make it easier to identify what screen you are looking at in your PEXA Workspace, the left navigation menu will now have a fixed position on the screen when scrolling up or down the page.   (Referencing LS3-6186) Panel Master Auto-representation (ALL)   We are improving the way our Panel Members create a Mortgage or Discharge of Mortgage in a new Workspace. When creating a workspace in the role of Incoming Mortgagee or Mortgagee on Title, the new field, Panel Master will now display on the Create New Workspace screen. This will allow you to select the Panel Master you represent in the transaction and automatically represent the party. This means as a Panel Member you will no longer need to represent the Panel Master, you can move straight to the documents screen to create the instrument.   (Referencing LS1-7372) New Residual Documents (VIC)   Together with Land Use Victoria, PEXA will be making the following two new Residual Documents available in this Release. Hello @DMc    Thanks, great insights.   Yes, we are always looking at new technologies and ways to improve our solutions. This is very timely, as we are reviewing ways to improve the signing experience. The digital certificate dongle has been a great solution for many years, but as you indicated, technology is constantly evolving and there may be better, device compatible, ways to both authenticate and sign documents in a PEXA Workspace.   I'll send you a direct message, as I'd love to hear whether you are using FIDO2 device for authentication.   Thanks again, Brett     ... Thanks @DMc    Yes, we're currently restricted to Australian app store.   We're looking at improving how we label the call to action buttons on the first screen.   And yes, a re-invite button would be very much something we'd like to include. The process at present is a bit cumbersome and as you mentioned, will un-sign any signed documents.   The History is also something we are right now looking into and will endeavour to improve in a coming release.   Thanks heaps for your feedback, Brett ... Moving from SettleMe to PEXA Currently, we have PEXA Key in pilot for a small group of members. More details on PEXA Key and the pilot.   If you are included in our pilot, and PEXA Key is switched on for you, the PEXA Key option replaces the SettleMe option on the Party screen.   If you have been using SettleMe and have some clients that are already on and using SettleMe, they are not impacted. However, any new clients you wish to invite will be invited to PEXA Key. This is to help avoid any confusion for your clients.   IMPORTANT NOTE: If you wish to transition a client from SettleMe to PEXA Key, you must follow these steps: Withdraw representation of the Party record Edit the Party record Select I represent this party  Complete the Party details Select PEXA Key checkbox Enter mobile number and email address Click Save   Eventually, PEXA Key will completely replace SettleMe, once we've gathered feedback as part of our pilot and responded with new enhancements. More details will be communicated here once we start the process of decommissioning the SettleMe solution. ... View more

Hi @JOANNA1   Just to double check, have you switched to the correct role, before you edit the party and select your representation? Hi @meghassall2305,   The PEXA workspace retains all of the data and you can reference that at any point in the future. Depending on what type of data you would like to export to your filing system, you can use some of our report functionality. We also have integrations with a number of practice management solutions which may help depending on what type of file system you are using.  We don't have an "export all workspace content" function at present. We have received feedback around this type of workspace export functionality, but we haven't investigated this any further at this point in time.   Please let me know if you have any further notes or questions. Hello @Jessica_Tran   It looks like the fact you couldn't edit the transfer has led to some issues on the Documents screen, including document verification.   You shouldn't require multiple transfer documents for the one transaction, as both parties (incoming proprietor and proprietor on title) should have the ability to view and edit. Hello @samthatcher   Thanks for your question.   All of the details are on title activity checks are located here in this article: Title Activity Checks This article documents all of the automatic activity checks that happen for a title added to a workspace. When the title is first added to the workspace; details of any recent activities are returned with the title information. This is a list of any activities 60 days prior to the date the title is added to the workspace. You can also run a manual activity check anytime up to settlement via the Land Titles screen.   So these activity checks should give you confidence with your transaction right up to settlement, indicating  any registry activity for the title.   Hope this helps answer your question.   Thanks Brett   ... Hello @Nicholsons1   I'm pleased to tell you that the Incoming Mortgage can view the Transfer document in a workspace. This change was introduced in Release 7 and is documented in our release notes. "Members in the role of the Incoming Mortgagee will be able to view the rendered Transfer document once it has a document status of Prepared. This will allow the Mortgagee to view the consideration and ownership percentage that the solicitor included in the Transfer document. Hello @JenSan,   Thanks for your follow-up.    If financial settlement has been added in error to a workspace that doesn't require it, you can remove settlement. From the Financial settlement screen, you can remove settlement.      Note: This function can only be performed in a workspace where no documents and financial line items exist.    So essentially, it caters for the scenario whereby financial settlement has been added to a workspace in error and hence can be removed before too much work has been performed in the workspace.   Depending on your scenario, this may or may not be what you are looking for?   Thanks Brett  ...
